APPLICATION GUIDELINES

Application Guidelines

The applicant and his/her home institution (university) need to complete the following procedures by the deadline.

STEP1: First, the applicant’s home institution needs to send us an official Nomination List by email to: in-sci-exchange#list.waseda.jp
(When you send us an email, please replace # with @) Please download the Excel file to fill out.

Applicant’s desired supervisor:
Please refer to “Graduate Schools, Programs, Research Guidance and Supervisors” on the upper part of this website and select one supervisor.
Note that the nominations from applicants themselves are not acceptable.

The deadline of nomination from the applicant’s home institution
April Enrollment:  by the end of October
September Enrollment:  by the end of April

STEP2: After we receive the nomination email from the applicant’s home institution, we will ask the professor whom the applicant wishes to be supervised whether the applicant may apply for the exchange program or not.

Later, we will email the response from the supervisor to the applicant’s home institution.

STEP3: For those who are permitted to apply for the exchange student program, please POST the following application documents to us by the deadline. Track your shipment with the international couriers such as DHL and FedEx.

STEP4: The results will be announced by email to the applicant by the following date.

B. Online Application ※Open from April 1st
This online application is only for our EXCHANGE PROGRAM applicants. It is not for the privately-financed applicants of our English-based Graduate Program.

C. Checklist

D. 3 colored ID photos (W 3 cm x H 4 cm/ Paste one of them on the upper part of the A. Application Form and enclose other 2 photos with your application documents)

E. Original Academic Transcript
(If the academic transcripts are not issued in English or Japanese, attach an official translation or original notarizations with seals in English or Japanese)

F. Passport copy (photocopy the face page with your information)

G. Original Certificate of Deposit Balance in English issued by a financial institution (The name of the person who will support you financially must be shown in the Certificate).

The Certificate of Deposit Balance is an official certificate which proves the amount of the bank account. This is normally one piece of paper which includes the name of account holder, account number, deposit amount, bank name and bank signature or official seal, issued by the bank.

If you are set to receive any scholarships during your stay in Japan, please submit an official scholarship award letter. Your name and the scholarship amount must be specified in the letter. If you are planning to cover your expenses on your own, please submit your Certificate of Deposit Balance.

H. Application for Certificate of Eligibility (COE form)
Download the COE Application Form and TYPE your information using your PC. Handwriting forms are NOT accepted by Japan Immigration Bureau.
Please see COE Sample while you fill out the application form. Note that only BLACK ink is acceptable, although the sample uses red to emphasize.

× × Scholarships for International Students For privately financed international students who have a college student visa. In principle, applications for scholarships are “after enrollment”. For some scholarships, scholarship candidates will be contacted after selection regardless of whether or not they have applied for the scholarship.
× × Scholarships for Japanese Students If you are a foreign national with visa status such as “permanent resident”, “long-term resident”, “spouse or child of Japanese national”, “spouse or child of permanent resident”, you will apply for scholarships for Japanese students.

In this case, you need to obtain “Scholarship Application Login Information” from the Web system UCARO and register for scholarships within the prescribed period(for details, refer to the  booklet “Challenge”).
