【Important】Changes Regarding Issuance of Certificates (from May 2023) – Waseda Portal Office

Fee per a certificate

Current student 300 JPY (except for Certificate of Health Check-up that costs 300 JPY for in Japanese /500 JPY for in English)
Alumni 400 JPY

*Depending on the way of application, it additionally cost you delivery or system usage fee.

Notes

For current student

  • Most of the certificates are available at Certificate Issuing Machines. For further detail, you can refer to “Support Anywhere’
  • Certificate of Expected Graduation is only available for the 4th year undergraduate students or 2nd year master students who complete the course registration for the required graduation (completion) credits. The issuing date starts on June 1 in Spring semester and November 10 in Fall semester.  (*If June 1 or November 10 falls on a university holiday, a weekend or public holiday, the issue will start on the following working day.) Please note the following periods are exceptional and you can not issue the certificate; Mid of February to May 31, a few days in the mid of June, a few days from end of October to November 9 and a few days from end of November to beginning of December. The detail will be posted besides the Certificate Issuing Machines at the Building No. 63, Nishi Waseda campus.
    * If you need the certificate during the exceptional periods due to an entrance examination at another university, please contact the university to which you are applying for an extension of the submission deadline (Certificate Consultation Service at Center for Science and Engineering)
  • Please refer to the Application Procedure for Doctorate for the handling of certificates from acceptance to completion of the doctoral thesis.

For Alumni

Depending on type of certificate, degree or graduation year, there are different ways and sections to apply for issuing certificates. Please refer to ‘Certificate Request for Alumni‘.

  • We do not accept applications by telephone, fax or e-mail.
  • If you have changed your name, you will be required to provide proof of this change, such as a certificate of  family register or a copy of your pension book showing your maiden name.
  • The certificate is issued in the name of the student at the time of enrollment (before the change of name).

Request by Postal Mail

When you request issuing certificates by post, please refer to the Waseda Portal Office website “Request by Postal Mail (for Alumni)” and apply to the Office of the Schools of Science and Engineering.

*Additional documentation is required when applying by proxy. See ‘Request by Postal Mail (for Alumni)‘ for more information.
*If the fee and self-addressed stamped envelope are insufficient, the certificate will be issued upon receipt of that amount.

Request In-Person

When you request issuing certificates in-person, please refer to the Waseda Portal Office website ‘Request by In-person (for Alumni)‘ and apply to the Office of the Schools of Science and Engineering. When visiting, please also check the office hours in the following notice.

Change of Address and Bank Account

If any of your personal information changes, please refer to the university-wide information and follow the procedures.

Change of your debit account for school expenses

If you wish to register or change your tuition and fees withdrawal account, access the “Payment of Tuition and Fees” page on the Waseda  University Accounting Section website, and refer to the “Payment of Tuition and Fees” section for detailed instructions. Please be aware that the procedure may not completed in time for the next payment depending on the timing of application.

Change of personal account for scholarship, medical fee reimbursement, and others

Make changes from the [Update Student Profile] on the menu displayed on the left after you log into MyWaseda.

Reissue of student ID Card

Please refer to the university-wide information and follow the procedures.

Leaves of Absence and Re-enrollment

Waseda University has systems to deal with leaves of absence, returning to school and continued leaves of absence. If you wish to apply for one of these, check the conditions and follow the prescribed procedures.

About leaves of absence

If you are not able to attend classes (including examinations) for more than two consecutive months for good reason, such as an illness, overseas language study, or economic circumstances, you may take a leave of absence by going through the prescribed procedure and receiving approval.
If you wish to take a leave of absence, carefully read the following Notes on Leaves of Absence and follow the prescribed procedure.
[Important] The application procedure has been changed in this renewal, so please check it carefully before proceeding.

*To receive approval for a leave of absence, you need to have an interview with a class academic advisor or a supervisor.
You should make an appointment and undergo an interview.

About returning to school

The premise of a leave of absence is returning to the same school after the absence.
When the end date of a leave of absence draws near, follow the necessary procedure for returning to school.
The documents related to the procedure for returning to school will be sent to your guarantor (about one month before the end of the leave of absence.)

About continued leaves of absence

In exceptional circumstances, you may be allowed to continue a leave of absence (note that, however, the period of a leave of absence cannot exceed two consecutive years). When the end date of a leave of absence draws near, follow the necessary procedure for continued leaves of absence.
The documents you need with which to apply for a continued leave of absence will be sent to your guarantor (about one month before the end date of leave of absence.)

Withdrawal and Re-admission

Waseda University has systems in place for withdrawal and re-admission. Individuals wishing to apply for withdrawal or re-admission should check the requirements and follow the necessary procedures.

Withdrawal

Students wishing to withdraw from the university should read the “Procedure for Withdrawal from the University” and follow the required procedures.

Re-admission

After withdrawal, students who meet the designated conditions may be re-admitted to the University and into the appropriate department/major after a comprehensive evaluation based on an interview, the number of credits acquired before withdrawal, and the reason for withdrawal. Please refer the following information for details.
