Grade announcement

You can find out your grades on MyWaseda. Please use the “Menu for viewing grades and registering courses” in the lower portion of the pre-login screen, which is displayed before logging into MyWaseda. You can also check your grades by directly receiving an Academic Transcript from the automated certificate-issuing machines. (If you failed a subject, the grade of the subject will not appear on the Academic Transcript.)
The grades for each semester as listed on the Grade Report page and on the Academic Transcript will reflect grades released on and after the designated date.

Grade evaluation

If the grade of a registered subject is an asterisk (*), it means that the grade has not yet been submitted by an instructor in charge of the subject in question. It will be updated as soon as the grade is submitted by the instructor. However, it takes approximately one week for the grade on the Grade Report page to reflect grades submitted by instructors.

If you need to know your grade urgently, please directly contact the instructor and explain your situation.

An “S” grade means that you have failed the class, but you are exempted from class attendance the following year. Check with an instructor in charge about the specific method (exam or report) of acquiring credits in the following year. In addition, because you are exempted from class attendance as mentioned above, you can register a different subject with classes held on the same day and time in the following year. *As a rule, subjects for which you have received an “S” grade will be automatically registered for the following year at the end of April.
However, automatic registration may not take place for various reasons (delay in the release of the grade, etc.).
You are responsible for making sure that your registration has actually been confirmed on the website for Science and Engineering Students.
Course registration page

An “H” grade means that you have failed the class. However, the final decision is on hold, and your grade may be changed by the end of the semester. If no change to the grade was made by an instructor in charge within a certain period of time, your grade will automatically become an “F” grade.
You need to check this matter urgently. Take action promptly so that it will not affect your course registration for the following semester. If you do not take action, you will receive an “F” grade.

Check the website of the Center for English Language Education in Science and Engineering for details and how to take the class the following year.

In graduate school research guidance, evaluation consists of a “P”grade (pass) or a “Q”grade (fail).

You can contact an instructor via e-mail if the instructor has given out his or her e-mail address in the Syllabus or in his or her class. If specific instructions were given in the class, please follow them.

When you want to contact full-time faculty members (professors, associate professors, and assistant professors): The full-time faculty members have their own Kenkyushitsu (faculty lab) at Waseda University, so you can visit them there in order to contact them. If you want to know the location and telephone number of a faculty member’s Kenkyushitsu, please refer to the bulletin board in the Office of the Schools of Science and Engineering (Bldg. #51 1F) or the website of each Kenkyushitsu.

When you want to contact a part-time lecturer (non-Waseda University faculty members affiliated with other universities and companies):

Part-time lecturers do not have their own Kenkyushitsu at Waseda University, and do not usually come to the Nishi-Waseda Campus when they are not running classes. Please contact them by mail via the Kyoinshitsu (Faculty Room, Bldg. #52 2F). Bring an envelope (stamped with 82 yen in postage), a return envelope (self-addressed and stamped with 82 yen in postage), and your letter (with a message and your mobile phone’s or PC’s e-mail address) with you to the Kyoinshitsu. The Kyoinshitsu staff will write the lecturer’s address on the envelope and mail it for you.

As soon as the instructor has reported the change to your grade to the Academic and Student Affairs Section of the Office of the Schools of Science and Engineering, the grade change will be reflected on the Waseda-net portal site. Please check. (It takes approximately one week for grade changes to be reflected on the Grade Report screen after a grade change is reported by an instructor.)

The marks used on grade reports and the Grade Report page (on the Waseda-net portal site) have different meanings to those used in the Academic Transcripts and the Academic Transcripts in English, which are generally used as certificates. Please refer to the following.

1st table is for students to whom the handbooks of AY 2005 and before are applied to, and 2nd table is for students to whom the handbooks of AY 2006 and after are applied to:

Grade calculation and ranking

The calculation method (applicable subjects, etc.) varies depending on the department and school year. Please follow the instructions from your class academic advisor for details. Each individual’s grade average is generally calculated by giving a certain number of points for each grade. Therefore, it is important for you to obtain good grade evaluations right from your first school year onwards.

You cannot take the same subject again once your have been issued your grade of C or above for the subject. If you get F, you can take it again but F will remain in your academic record.  Therefore, try to obtain good grade evaluations for all subjects you have taken and do not take too many subjects at once.

The grade ranking affects recommendation to graduate schools, scholarships, and recommendation to employment. Grade rankings are extremely important for students. Try to obtain good grade evaluations right from your first school year onward.

Waseda University uses an evaluation system with a set of conversion rates called Grade Point(4 points for A+, 3 points for A, 2points for B,1 point for C, and zero point for Falling Grades ).A Grade Point Average(GPA) is a score calculated by multiplying “total number of credits by grade point(A+, A, B etc.)” and “corresponding grade point(4 for A+, 3 for A etc.)”, then totaling the obtained figures for the all grades and dividing the result by “total number of registered credits.”
The total number of registered credits includes credits earned for falling grades.
This will be calculated in the following formula:

[(No. of A+ credits x 4) + (No. of A credits x 3) + (No. of B credits x 2) + (No. of C credits x 1) + (No. of Falling grades x 0)]

*The GPA will be rounded to the second decimal place.
*Subjects used in the GPA calculation
The GPA calculation considers only the subjects registered as the subjects to count toward graduate credits. However, the following cases will not
be subject to the GPA calculation even if the subject is counted toward graduate credits.
・N,P,Q,H( H grades is included in the GPA calculation after the subjects in question are finally confirmed to have passed or failed. )

*GPA on Grade Report and Transcript of Academic Record.: Please note that the GPA will appear on the Grade Report, but not on
the Transcript of Academic Record. We can issue a “Transcript or Academic Record / GPA” indicating the GPA and the grades used in the GPA calculation.

We do not calculate GPA for the students enrolled before AY 2009.  Instead, we have prepared a letter to explain that we do not calculate GPA for those enrolled before AY 2009.  Please print out and submit the following PDF to other party.

All courses that  count as credit toward graduation (qualified to be counted for graduation) are included to calculate GPA.
Therefore, even in case you have earned credits more than required for graduation for 4 years or credits of the courses offered by other bodies more than upper limit required for graduation set by each department, courses that count as credit toward graduation regardless of order to be earned will be included to calculate your GPA.

Academic Transcript, Certificate of Graduation, and Certificate of Academic Transcript and Graduation

You are eligible for graduation if you have met the designated graduation requirements (which subjects are required for graduation and the number of credits from each subject group required for graduation). For more details, please check the bulletin for your school that was distributed at the time of enrollment. Do not check bulletins for other school years because the rules differ.

Decisions as to whether undergraduate students in their fourth year or above and graduate students in their second year or above can expect graduation are made on June 1 and Novemberr 1 every year. Undergraduate students and graduate students are eligible for “status for graduation” and “status for completion” respectively, if they have met the requirements for their graduation or completion by gaining a total number of credits in subjects already taken and those currently being taken and registered during the specified course registration period for this year.

The students eligible for expected graduation or completion can receive a Certificate of Expected Graduation or a Certificate of Expected Completion from the automated certificate-issuing machines immediately after they become eligible (after June 1 or November 1).

You can find out whether or not you are eligible for “status for graduation (or completion)”on the Waseda-net portal site. Please use the “Menu for viewing grades and registering courses” in the lower portion of the pre-login screen, which is displayed before logging into MyWaseda.

The final decision regarding graduation (or completion) will be made at the time grades are released at the end of the final semester. You can find out the results on MyWaseda. Log into the site, open “Classes” on the left side, and click on “Grade report”.If you have received “Graduation”(completion) requirements are not satisfied” and if the reason why is not clear, please directly contact the liaison office of each department as a matter of urgency.

We do not issue Certificate of Expected Graduation from the mid of February to May 31st and from the end of August to October 31st. We recommend you to prepare in advance for a Certificate of Expected Graduation.

If you are required by a company to obtain a Certificate of Expected Graduation during above mentioned period, please print out and submit following PDF.

If you are required by a company to obtain a Certificate of Expected Graduation earlier, please tell the company that Waseda University can issue you a certificate on June 1 at the earliest for undergraduate students in their fourth year and graduate students in their second year. (The Certificate of Expected Graduation (or Completion) cannot be issued for undergraduate students in their third year and graduate students in their first year. Please wait until June 1 of the following year.)

The Certificate of Physical Examination can be issued from the automated certificate-issuing machines from June 1 onward for  students who received a physical checkup conducted by Human Service Center every April. Please make sure to have the physical checkup.

In addition to a transcript, information about your graduation is also described on a Certificate of Academic Transcript and Graduation. Similarly, in addition to a transcript, information about your expected graduation is described on the Certificate of Academic Transcript and Expected Graduation.

Fill in an Application for Certificate Issuance and apply at the Academic and Student Affairs Section of the Office of the Schools of Science and Engineering (there is a handling fee of 300 yen per certificate).

Even if you are a graduate student, you have officially graduated from the School of Science and Engineering, so you cannot receive the Transcript of grades taken during the enrollment in the School of Science and Engineering from the automated certificate-issuing machines. Certificates (Certificate of Enrollment, Academic Transcript, etc.) related to your current enrollment in the graduate school can be issued from the automated certificate-issuing machines (there is a handling fee of 200 yen per certificate).

September graduation

If you would like to graduate (complete) in September, you need to consult and confirm with your supervisor and department about the detailed procedure and eligibility.  To register to graduate in September, you are required to report to Faculty of Science and Engineering through your department by late May of the year of September graduation.

Students who have taken this procedure will be eligible for “status for graduation” (undergraduates) and “status for completion” (graduates) after the decisions are made on June 1st as to whether they have met their requirements for their graduation or completion by gaining a total number of credits in subjects already taken and those currently being taken and registered during the specified course registration period for this year.  You can find out whether or not you are eligible for “status for graduation (or completion) ”on the Waseda-net portal site. Please use the “Menu for viewing grades and registering courses” in the lower portion of the pre-login screen, which is displayed before logging into Waseda-net portal.

Basically, the decision about September graduation (completion) is made one time on June 1st (excluding students enrolled in IPSE undergraduate program).

Grades are released on the same day for all students including September graduates. As for the final decision about graduation (completion), you can check on the Waseda-net portal site by using the “Menu for viewing grades and registering courses” in the lower portion of the pre-login screen at the time of grades release in September.  If you are not eligible for status of graduation (completion) and the reason is unclear, please inquire the departmental office directly as soon as possible.  Certificate of expected graduation (completion) can be issued on and after June 1st.  Certificate of graduation (completion) can be issued on and after September 15th.

Provisionary graduate enrollment program

The grades (credits) for subjects taken in the provisionary graduate enrollment program will become valid when you become enrolled in a master course at the Graduate School of Science and Engineering. (They are not included in credits for graduation of the School of Science and Engineering.)

The number of credits certified varies depending on your major. Please refer to the Course Registration Guide and the Bulletin for Graduate School of Science and Engineering. You do not need to carry out any procedures for these credits after your enrollment in the graduate school because they are automatically transferred as credits for your master’s degree.

Studying abroad

Consult with the Academic and Student Affairs Section of the Office of the Schools of Science and Engineering immediately after you have returned to school.
Please have ready a Transcript and a Syllabus issued by the overseas university you were enrolled in, as well as textbooks and notebooks.

Students who entered in and before AY 2009

GPA is not calculated and shown for those above.  In case you would like us to certify that in the “Request Form” of MBA, overseas universities, etc., please bring the request form to us.

Students who entered in and after AY 2010

You can get “Certificate of GPA” issued by the automatic certificate issuing machines.
