Certificates

By using the Certificate Issuance Service (Online Application), you will be able to receive your certificate at convenience stores, certificate issuing machines or by postal mail. For more details, please check Support Anywhere.

Change of Project Research

【For MA Students】

Students wishing to change their registered Project Research should apply by the end of the 2nd semester in principle after enrollment except for unavoidable reasons such as sabbatical leave of their Project Advisor.
Any later request will not be accepted. In order to apply for the change, students need to obtain approval from one of the Academic Advisors and a new Project Advisor
after submitting a research plan and reasons for request. After the approval, please submit the “Application form for changing the project research” to the GSAPS office.
The final judgement on whether or not the request is appropriate
would be made in the Steering Committee and approval will be given accordingly.
Consult your new/old Project Advisors to decide when to join the new Project Research. 

【For PhD Students】

In the doctoral program, changes in project research due to a change in research theme, etc. are not permitted. But if a change is unavoidable, please contact the GSAPS office.

Procedure

Fill in the  designated application form , obtain signature from the new faculty and an academic adviser, and submit it to the designated link.

There are two academic advisers, but you need signature from one of them. However, if the project research faculty is an academic adviser, you need to ask the other academic adviser. You can refer to their contact information by accessing the below link through MyWaseda.

Leave of Absence from the School

If you cannot attend classes, including tests for a period of two months or longer due to the following reasons, you may apply for leave of absence by obtaining the approval of the Dean, according to the procedure of application.

  1. Injuries/ Illnesses
  2. Financial/ Economic Hardships
  3. Other Reasons

* Students will be granted a leave of absence as long as the reasons are valid

Study Abroad

The study abroad programs at Waseda University Graduate School of Asia-Pacific Studies can be broadly divided into the following four categories.

(1) Exchange Programs through Inter-University Agreements
This is to participate in a study abroad program offered by the Center for International Education. For details, please refer to the website of the Center for International Education.

(2) Exchange Programs through Inter-Section Agreements
Exchange students through interdisciplinary agreements Students participate in study abroad programs that the Graduate School of Asia-Pacific Studies has an agreement with.

(3) Exchange Programs through EAUI (East Asian University Institute) Program

This program is jointly implemented by five universities in East Asia with the aim of fostering human resources who will be responsible for promoting Asian regional integration and cooperation.

(4) Privately-Financed Study Abroad
This does not belong to any of the above categories and is to be arranged and participated in by the individual.

In all of the above cases, you must submit an “Application for Study Abroad” and receive approval from the GSPAS prior to studying abroad. Students whose purpose is language learning need to submit “Application for Leave of Absence” instead.

If you do not complete the study abroad procedures at the GSAPS, you will not be permitted to go to study abroad.

Returning to GSAPS from leave of absence/ study abroad

If you wish to return to school after a leave of absence/study abroad, please submit the application for return to school to the GSAPS Office two months before you resume your studies back to GSAPS after your leave of absence or from studying abroad.

For returning students, you must submit the application before the start of the semester. If the GSAPS Office receives no official notification of extension or application of withdrawal, your enrollment will be reinstated.

In returning to Japan from study abroad, please submit “Notification of Return to Japan” in addition to “Application for Return to School”.

The date(s) of returning are as follows:

April 1 – September 20 (Leave of Absence/ Studying Abroad) September 21
September 21 – March 31 of the following year (Leave of Absence) April 1

When you wish to request for studying abroad, Please contact GSAPS Office in advance.

Withdrawal

Voluntary Withdrawal

Students are allowed to voluntarily withdraw upon receiving permission from the Academic Affairs Committee.

 

Administrative Withdrawal

Under the conditions below, following an academic hearing, a student will be required to withdraw.

  1. The number of years allotted to earn a degree has expired.
  2. Completing the Doctoral Program except for submission of dissertation (for Doctoral Program students)
  3. Tuition and other required fees have not been paid.

Students who have not paid tuition and other fees will automatically be required to withdraw according to the chart below. Their date of withdrawal will be shown as the last day of the semester for which they paid tuition and fees. Registered credits and grades taken during the period where tuition was not paid will be registered as invalid.

Disciplinary Withdrawal

Students who have committed an infraction of Universitiy’s rules, or have acted in a way that is contrary to what is expected of them as Waseda students, may be dismissed from the University as a disciplinary measure.

Readmission

Depending on the reason for their withdrawal from the University, students may be granted permission for readmission (see the Permission for Readmission chart below). Only students who, after consideration, are deemed to have the ability to continue their study at the University successfully will be readmitted.

Disciplinary Withdrawal In principle, not allowed*Depending on the infraction, if, after 2 years from the date of dismissal, a student who has shown remarkable repentance and is determined to successfully complete the degree applies for readmission, the application may be approved in exceptional cases.

Permission for Readmission

Note:

  • Students cannot be readmitted in the semester following the semester they are listed as having withdrawn from.
  • If readmission is permitted, some students may have to retake some or all of the courses previously enrolled in.
  • No student will be granted permission for readmission more than once.

Time Period of Permission for Readmission

The time period in which a student is allowed to apply for readmission, including the academic year following the academic year in which they withdrew, is as follows:

  • Graduate School Master’s Program: 4 years
  • Graduate School Doctoral Program or Law School: 5 years

Procedures to Apply for Readmission

If one wishes to be re-admitted in the Spring semester, please submit the application for re-admission by the last working day of December the year before.

For the re-admission in the Fall semester, please submit the application for re-admission by the last working day of May to the GSAPS Office. For re-admission, applicants are requested to have an interview with the Associate Dean. After submitting the application, the GSAPS Office will schedule the interview. Please inform us your contact number/ email/ address which the Office can definitely reach you.

Change of the registered information such as address and guradian

Application for Academic Accommodation

We provide students with necessary and reasonable accommodation for learning in accordance with the “Basic principles of Waseda University in relation to the support of students with disabilities.” If you need accommodations for learning due to a disability, please check the information on Accessibility Resource Center’s website and make application.

Infectious diseases that should be prevented in schools

If you contract an infectious disease classified as an “infectious disease to be prevented at school,” you must suspend your attendance in accordance with the School Health and Safety Law to prevent others from contracting the disease. If you are subject to (1) below, please follow the procedures described in (2).

(2) Procedures

  1. Fill out the application form below and report to the university.
    Application Form for Reporting School Infectious Diseases (New Coronavirus Infectious Disease, Influenza, etc.)
  2. In cases requiring absence from face-to-face classes, etc., explain the situation to the teacher in charge of each subject via “Message My Teacher” on WasedaMoodle and ask for instructions.
  3. After you are permitted to come to school or after the suspension period is over, ask the doctor who diagnosed you to fill out the “Certificate of Permission to Come to School for ‘Infectious Diseases to be Prevented at School” and submit it to the GSAPS office, Building No. 19 (7th floor).
  4. If you are asked to submit an “Absence Form” by your instructor, fill out the following form, go to the GSAPS office, and submit it to your instructor again for consideration.
    *”Notification of Absence Due to Infectious Disease

*If it is difficult to prepare certificates for COVID-19 and seasonal influenza(except for specified avian influenza), it is not necessary to submit “Certificate of Recovery from Infectious Disease” after the period of suspension from classes. Therefore, students may submit proof of illness (medical certificate, etc.) as an attached document. The name of infectious disease and the quarantine period should be confirmable from the document.
