Interlibrary Loans

Waseda University Library provides Interlibrary Loans Services (ILL) for students, faculty, and staff of the university.

If materials you wish to browse are not available in the library you are using at Waseda or on the WEB, you can request materials or photocopies from other libraries both on and off campus. Available services may differ depending on your user status and, also due to agreements with other libraries.

For visiting off-campus libraries, please refer to Using non-Waseda Libraries.

Waseda University Library is not open to the public. Members of other universities should consult their own university or institution’s library, and members of the general public a public library.

>Visitors

Material Transferring Service between Waseda Libraries

You can order for borrowing material which is held in another Waseda library. In principle, this service is limited to requests for materials from distant campus libraries.

User Qualification

  • Waseda University ID Card holder [Faculty & Staff, Undergraduate students, Graduate students, Professor Emeritus, Part-time Lecturer etc.]
  • Library Card (Green, Blue, Red) holder
  • Waseda Alumni Card holder, Waseda Card (credit card) holder

* Open college members of Extension Center, Membership card owners (The Waseda Fund/Former “WASEDA Supporters Club”) and Life Redesign College memberscan order only Central  Library materials which are stored separately in Honjo Deposit Library.


Materials

  • Books: The status is “Available: Item in place”.
    You can also make an ILL request for a book which is not currently available (e.g. the status is “On loan until ….”) by choosing pick up location when you place hold requests on WINE.

* If you need to use a material which is “Not loanable”, consider to visit the holding library or to use an ordering photocopies service.
* Transferred Materials from Honjo Deposit Library must be used within the library designated as the receiving place.

Combination of Holding & Receiving Libraries

  • Services may differ depending on the combination of holding and receiving libraries.
  • The library where you applied for this service will be the receiving place, in general.
  • Please give priority to materials on the Web such as e-journals/ e-books which Waseda subscribes to.

※The books held at the Tsubouchi Memorial Theater Museum Library are able to transfer only to the Science & Engineering Library and the Tokorozawa Library (Library use only).

From Arrival to Check Out

  • Basically the materials will arrive at the receiving place in a couple of days.
  • A notification will be sent to your e-mail address when the book has arrived.
  • The book will be kept for 7 days (except Sundays, national holidays and closing dates) at the receiving place. So please make sure to check them out during that period.
  • Please check “Borrowing Rules” for details, such as borrowing period.

In case which the book you want to order cannot be found on the bookshelf

Even the status of the book you requested is shown as “Available: Item in place” on WINE, sometimes it can happen that the actual book cannot be found on the bookshelf.

Please note as follows:

  • Library staff will check the shelf to pick up the book again on the following day. If it is still missing, your request will be cancelled at that time. Then the cancellation will be announced to your e-mail address.
  • If another user is browsing the book in the library when you order it, the user has the priority. So, if the user uses the book continuously followed by checking it out, your request will be next to the user. In this case, the notification won’t be sent to you.

  • Honjo Deposit Library is not for open use, and all materials stored in the library must be delivered for using to another library in Waseda. Since it takes a couple of days for transferring, please order in advance.
  • If you cannot log in MyWaseda (Library Online Request Form), you need to consult at the library service desk where you wish to receive, or send an application form by fax/ mail in advance.

* Because of a limitation of transferring per one day, the materials you ordered may delivered separately if you order large number of volumes.
*In principle, this service is for delivering materials held only in “Honjo” to “Waseda/ Toyama/ Nishi-waseda/Tokorozawa”.

From Arrival to Receive

  • Basically, the materials will arrive at the receiving place in a couple of days.
  • A notification will be sent to your e-mail address when the materials have arrived.
  • The book will be kept for 14 days (except Sundays, national holidays and closing dates) at the receiving place.

How to Order

  • After log in MyWaseda, make a request via Library Online Request Form.
    * Since only ordering books from Honjo Deposit Library is not available via Library Online Request Form, please consult to the library where you wish to receive the book

      * For books held at Toyama Library, please apply at the Toyama Library desk.

  • [For whom cannot use Library Online Request Form] Ask at the library service desk where you wish to receive.

* You cannot apply for this service from WINE.

  • Waseda University Library provides a photocopying service according to Article 31 of the Copyright Law. Users must take all responsibility about the photocopies related to the law. A large quantity requests, and a request with a risk that comes into conflict with the law may be rejected.

Other Material Transferring Services in Waseda

Transferring books to Higashifushimi Campus Office (Building No.79, STEP22) is available by the following procedures.

How to Order

  1. Show your ID Card/ Library Card and submit the application form at Higashifushimi Campus Office.
  2. In a couple of days, when the book has arrived, notification from the office will be sent to your e-mail address. Then pick it up from the office.

* You cannot make a request from WINE.
* Since the book will be sent to Higashifushimi Campus Office after the checking out process at the holding library, the borrowing period will be shorter due to the transferring days.

How to Request a Book Borrowed by another User

  1. You may place a hold request on an item that is not currently available such as “On Loan” on WINE. In this case, the holding library must be designated as a receiving place.
  2. A notification will be sent to your e-mail address when the item is ready for pick up at the holding library.
  3. Within one week (a period which the item is held on the hold shelf at the holding library), you may go to Higashifushimi Campus Office, and submit an application form for transferring from the holding library.
  • You need to bring a photocopy of the notification e-mail or you need to show the e-mail on your cell phone to the staff at the office. The date you received the mail will be also required on the application form.

Returning

  • You can return the book at Higashifushimi Campus Office or at Waseda Libraries. The office also accepts the returning books you have borrowed from Waseda Libraries directory. See the list on Return Anywhere Service for details.
  • Since the book will be on the returning procedure after arriving at the holding library going back to the date you returned the book at the office, you might receive a remind mail about the due date after you had returned it. So please be advised to confirm whether the returning procedure has been completed later from “My Library” on WINE in this case.

  • You can renew the due date from “My Library” on WINE.
  • You cannot ask for a continuous check out procedure at Higashifushimi Campus Office. In principle, the book you have borrowed must be returned to the holding library by the due date.

How to Order

You can make requests of interlibrary loans for materials owned by Waseda University Library through Media Center.

  2. Apply for the ILL with the results at Media Center.

  5. The books must be returned to Media Center by the due date (Do not return them to the holding library directory).

* You cannot make a request from WINE.
* Since the book will be sent to Kitakyushu Campus Office after the checking out process at the holding library, the borrowing period will be shorter due to the transferring days.
* Please remind that Media Center doesn’t accept returning books you have borrowed from Waseda Libraries directory.
* You cannot ask for a continuous check out procedure at Media Center. In principle, the book you have borrowed must be returned by the due date.

Request Materials from Outside the University

In cases that materials are not available in Waseda, you can make a request for Interlibrary Loans (ILL) to outside the university.

  2. Apply for ILL at Media Center.
  3. A notification from Media Center will be sent you when the materials have arrived.
  4. Pick them up at Media Center. The cost should be paid in exchanging for the materials.
  5. The books must be returned to Media Center by the due date.
Request Photocopies from Overseas

If you would like to make a request for ILL to overseas universities/ institutes which are not available for NACSIS-ILL, send an application directly to Central Library, Waseda University. Please note that the costs must be paid from internal funds only, such as Individual Research Allowance, in this case.

  1. Search items and confirm the holding library on WorldCat etc., if you cannot find them on WINE/ CiNii Books/ KOSMOS (Keio University)/ NDL Online.
  2. Fill in the “ILL Application Form” and send it by fax to Central Library (FAX 03-3207-9224).
    *Please check again that you have marked “Kohi (University)” on the application. And don’t forget to choose or write the details on an expenses column.
  3. The photocopies will arrive at the office of IPS via Central Library, and a notification e-mail will be sent you.
  4. Pick them up at the office of IPS at any time after a day designated on the e-mail.

Interlibrary Loans from Outside the University

If the materials you want to browse are not available in the environment Waseda provides, or they are not freely available on the WEB, you can request them from other university libraries, the National Diet Library (NDL), or a public library. Please understand that it may not be possible to fulfill some requests.

  • Requests from individuals are aggregated and sent to an appropriate library as a request from Waseda University Library. A large quantity requests, and a request with a risk that comes into conflict with the law may be rejected. Please confirm the holding library when you apply.
    * Domestic: OPAC of university library, KOSMOS (Keio University), NDL Online, CiNii Books etc.
    * Overseas: OPAC of university library, WorldCat etc.

Fees

  • Domestic: Shipping fee of simple registered mail (on both ways) is approximately 1,200-1,400 yen in Japan. Heavy books and large sized books cost more.
  • Overseas: It depends on the holding library. In addition to actual shipping fee, handling charge may be included in a bill. Please set a maximum amount of charge you can pay for the ILL when you apply. The minimum amount is approximately 5,000 yen for overseas.
  • Please note the following differences of ILL charge from outside the university.
    Total ILL charge is 3,000 yen or less: All amount of charge will be borne by Waseda University.
    Total ILL charge is 3,001 yen or more: The whole costs will be charged to the applicant.
    * Shipping cost is free between Keio University and Waseda in both ways.
    * The costs can be paid from internal funds such as Individual Research Allowance. However, please pay attention to the balance, especially at the end of academic year.

  • The period of use is approximately two weeks (It also depends on the holding library).
  • The material can be browsed only inside the library.
  • Please note that self-copy of ordered materials is prohibited. If you would like to make a photocopy, apply for a photocopy service by library staff. But some requests may be rejected, because of following reasons.
    1) There is a risk that comes into conflict with the law.
    2) The book has a limitation for copy from the holding library.
    3) There is a possibility to give damage by photocopying.

Fees

  • Domestic: The cost (Mailing and Photocopy) depends on the holding library. Photocopy costs approximately 30-50 yen per a page and shipping fee is around 200 yen in Japan. Handling charge may be included in a bill in some cases.

>Using non-Waseda Libraries

  • Overseas: It also depends on the holding library. In addition to actual shipping & copying fee, handling charge may be included in a bill. Please set a maximum amount of charge you can pay for the ILL when you apply. Mostly, the minimum amount is more than 3,000 yen for overseas.
  • Because photocopying of domestic rare books can be expensive depending on the number of copies, you can request a estimation. However, depending on the library, it may take some time to get an estimate.
  • Please note the following differences of ILL charge from outside the university.
    Total ILL charge is 3,000 yen or less: All amount of charge will be borne by Waseda University.

Upper Limit of the Number of ILL Materials

  • You can make up to 10 requests for ILL per day. This includes a maximum of 5 requests for on-campus materials (books and photocopies) and 5 requests for off-campus materials (books and photocopies).

The Digitized Contents Transmission Service for Libraries (NDL Digital Collections)

The Digitized Contents Transmission Service for Libraries is provided by the National Diet Library. Waseda University subscribes to this service: difficult-to-obtain materials such as out-of-print books are available on computers at the Central Library.

  • Waseda University ID Card holder [Faculty & Staff, Undergraduate Student, Graduate Student, Professor Emeritus, Part-time Lecturer etc. ]
  • Library Card (Green) holder

  • The materials which are open as “Available only at the NDL and partner libraries”

* Materials with “Available only at the NDL” sign are not available at Waseda.

How to Use

  • For using the designated computer of this service, ask at Help Desk located on 2nd floor, Central Library, and at circulation desk on 1st floor Toyama Library, until 1 hour before closing time.
  • Basically, maximum accountable time is 1 hour.

Photocopy

  • Following activities for the digital collections are strictly prohibited by NDL.
    [Making a self-copy, Print out, Downloading to personal devices, Capturing a screen, Taking photographs, Scanning etc.]
  • If you would like to make photocopies, apply for a photocopy service at Help Desk. The service will be provided according to the Copyright Law, so a request with a risk that comes into conflict with the law may be rejected.
  • It might take a time, so you may receive them at Help Desk in a couple of days.

Fees

  • 20yen / page (B&W)
  • 60yen / page (Color)
