It is possible to submit requests for various library services online.
Please confirm the following procedures before sending a request.

Services that Can be Used from WINE

The following services are available through WINE.

Sign in to WINE

For current Waseda University members like students and faculties, please log in to WINE for the following functions.

  • Contents for current Waseda University member only are included in the search results and viewable.
  • Saving search results in “My Favorites”.
  • Checking your borrowing/requesting items. You can renew your borrowing items in “My Library”.
  • Requesting items for borrowing or picking up, at the search result pages.

In “My Library”, you can check the books you are borrowing and books in reservation. Also you can renew your loan period.

Request Library Materials

  • You may place hold requests on items that are not currently available, such as items On Loan, In Transit, On Hold Shelf, or In Process.
  • You may request an item that is only available at distant campuses to pick up at your campus, even if the item is listed as Item in place /Loanable.

Online Requests from MyWaseda(“Library Online Request Form”)

This service is available to Waseda University Student, Full-time Faculty and Staff, Part-time Lecturer and those who can access to the Form. For those who are not applicable for the status above, please ask to the reference desk.

  • Letter of Introduction
    In case that books and other materials are not owned by Waseda University Library, users can visit other university libraries or research institute libraries with a letter of introduction. Eligible user can request it.

  • Interlibrary Loans (ILL)
    Requests can be submitted for books and materials, as well as copies of journals from Waseda Libraries and non-Waseda libraries.

    Waseda University Library accepts requests to purchase books not available at Waseda University Libraries.

How to Request

1.Please log in to MyWaseda.

2.Please click “Research (or Tasks)” on the top of the screen and “Library online request” on the right side.

3.After clicking “Library Online Request”, application form is shown. Please select your status at Waseda University from pull-down menu. For students, your grade is required. Please select the service you need in the pull-down menu of “Select your inquiry”, and go “Next”.

4.After reading a notice for filling out the form, please follow instructions and select menus.

Library Materials Delivery Service

The purpose of this service is to support the class preparation and research of Waseda University faculty members, and to support the study of Waseda University students,
This service is designed to send books, photocopies, etc. from the Waseda University Library to your home for the purpose of supporting class preparation/research by Waseda University faculty members and students.

  • Materials can be offered only in the form of printed copies. Japanese law does not permit us to provide you with a PDF file via e-mail attachment.
  • We may not be able to fulfill requests for photocopies from books designated as “not loanable”.
  • Waseda University Library provides a photocopying service in accordance with Article 31 of the Copyright Act. Users are responsible for observing the relevant provisions of the law. A large quantity of requests and requests that risk conflict with the law may be rejected. Please refer to the information about copyright provided by NDL as a guide.

  • Materials from the “Digitized Contents Transmission Service for Libraries, National Diet Library” are not allowed to be sent from the university. Please consult the NDL directory.

  • Requests for materials which are not suitable for shipping, such as oversized books, electronic media, CD-ROMs, and Meiji Era books may be rejected.
Sending: Photocopies requested via On/Off-Waseda ILL service
  • In principle, materials ordered via on/off Waseda ILL services must be picked up from the library you specified. However, you may add an order to send ILL photocopies to your address using this service.
  • You need to apply for the ILL service of photocopy-sending separately. Please apply for this service after you receive the e-mail informing you that the ILL photocopies are ready to be collected.
    >Interlibrary Loans
  • Because books ordered via off-Waseda ILL can only be used within the library, they are excluded from this service. We regret that we cannot make photocopies from off-Waseda ILL materials, and send them to your address.
Sending: A letter of introduction you have ordered via Library Online Request
  • Although a letter of introduction you have ordered via the Library Online Request Form should be picked up from the library you specified, you can order it sent to your home address using this service. 
  • You need to apply for a letter of introduction in advance. After you receive the e-mail which informing you that the letter of introduction is ready, you may apply to have the letter sent to your address.

Fees and payment

Shipping cost (Mandatory): Borne by the user
  • [Parcel] Books (and combinations of books and photocopies) will be sent by postal service or other traceable delivery service using the pay-on-delivery option. Please pay the delivery staff when the parcel arrives.
  • [Envelope] Photocopies will be sent in an envelope. Postage will be charged in addition to the photocopy fee as stated below.
  • The shipping fee is calculated based on weight, dimension and sending address. We regret that we cannot give you an estimate of the shipping cost beforehand.

  • To use KOHI (Individual Research Allowance etc.), please consult your supervisor (professor) and the office of your affiliation to confirm your eligibility first. If receiving books and photocopies, you will need to pay-on-delivery as usual. Please keep receipts and submit them with your claim so that the expense can be refunded afterwards.
Photocopying fee: Borne by the user
  • The standard library internal ILL service charge will be applied.

    20yen / page (B&W)
    60yen / page (Color)
    20-50yen / page (Microforms).   Actual cost depends on the paper size.
  • Please select 1) pay by your own money (bank transfer), or 2) pay by KOHI (Individual Research Allowance etc.), when you apply for this service. You cannot mix two payment methods in one request.
  • If you make a request via the Library Online Request Form for internal ILL service, the photocopying fee will be processed as you request on the form.
  • Billing: A bill will be enclosed. Please pay it following the instructions. (Handling charge: borne by the user, payment deadline: 1 month).
  • KOHI: If you choose to pay for photocopying by KOHI, the library will process the transfer.
Fee for sending photocopies requested by Off-Waseda ILL service: Borne by the user
  • Shipping cost will be charged for this delivery service as stated in the section Shipping cost” above.
  • The fee (shipping and photocopying) charged by the institute from which the ILL service was requested will be processed according to [Off Waseda] Ordering Photocopies.
  • The total fee will be processed as you request on the form.
  • Billing: A bill will be enclosed. Please pay it the following instructions. (Handling charge: borne by the user, payment deadline: 1 month).
  • KOHI: If you choose to pay for photocopying by KOHI, the library will process the transfer.
Fee for sending a letter of introduction you have ordered via Library Online Request: Borne by the user
  • Shipping costs will be charged for this delivery service as stated in the section Shipping cost” above. 
  • There is no charge for issuing a letter of introduction. 

Notes [Important]

Number of Times
  • We ask that in principle you limit applications to once every two weeks.
  • The number of requests that may be made per application are as follows:
    1) Lending books Waseda University Library holds: 5 items
    2) Sending photocopies of articles Waseda University Library holds: 5 items
  • This service does not override the Borrowing Rules of the library.
Cancelation / Revision
  • You may not cancel or add requests after submission, even if some of the books you have requested cannot be loaned.
  • Requests will be processed in order on a first-come-first-served basis.
  • If there is missing information or we cannot fulfill your request, you will be contacted via your Waseda/notification mail address.
Sending
  • During the loan period until the materials are returned to us, you are responsible for any problems such as damage or loss.
  • Please decide on your sending address in Japan (e.g. home address). You may not have items sent to a Waseda campus address. For international postage, please consult us first.
  • You may not request express mail.
  • All the items will be sent from the Central Library.
  • Requests will be processed during office hours of the libraries and post office. Please be aware that shipping delays or decline of your request may occur depending on the situation. It may take more time, for example, if you request materials from libraries other than the Central Library, if you request books and photocopies of articles together, and so on.
 Return Date
  • In principle, the borrowing date of the books is the date that the lending procedure is completed (not the shipping date), and the returning date is the date the books arrive back at the library. Because of this, the period that you can use the books will be shortened by the number of days needed for proceeding and shipping.
  • You can check the return date and renew the date from MyLibrary on WINE as usual.

How to request

Please follow the procedures below, and apply using the Application Form (We cannot accept any requests by e-mail, phone, FAX etc.).

Lending books / Sending photocopies of articles Waseda University Library holds

▼Confirm the status of the items you need on WINE.

  • [Lending Books]
    ・Please check whether the status is available and “Item status: Item in place” or not.
    ・Before you can request books you have reserved in advance on WINE, you need to have received a notice from the library letting you know the books are on the hold shelf.
  • [Sending Photocopies]
    ・Please check the existence of the magazine/journal carrying the articles you are looking for, and the availability of the volume or issue you need. There might be some missing numbers in the libraries.

▼Prepare the information for application form

  • Before you start to enter the application form, please read through the form and check the information you need to provide; personal information, bibliographic information, payment and shipping methods etc.
  • Because the form will be cleared automatically after a certain period of time has elapsed, we recommend that you prepare the information beforehand by using a text editor, then copy and paste it into the form.
  • To identify the materials in your request, please make sure to use the PERMALINK of the record on WINE.

  • Enter the information you prepared on the form and submit promptly.
  • When you request several items at once, you can choose either separate or same package for shipping. Choosing “same package” can reduce shipping cost compared to “separate”. We cannot accept any EXPRESS service.

How to return books

We accept the return of books by post or other recorded delivery service. You can also return books at the circulation desks directly, or by using drop boxes located outside libraries (except Central Library) and student reading rooms when the campus is open. If there is a delay in processing returned materials because of the library, the user will not be disadvantaged.

▼Notes for return by post or delivery service

  • You are responsible for the return of loaned materials including the cost of postage. You are also responsible for any damage or loss incurred during transport.
  • Please send the package to the address below using a traceable mail service (Yu-pack etc.). We advise you to keep the receipt.
  • When you pack materials for shipping, please put them in a plastic bag in order to prevent damage by water and wrap them with cushioning materials. You are welcome to reuse envelopes, cardboard boxes, and cushioning materials sent from us if they are in good condition.
