Borrowing, Returning, Renewing, and Holding

For Waseda users only

Borrowing

To borrow books, please bring books to circulation desk with student ID, Faculty and staff ID, or library card.

Borrowing Rules

Borrowing periods and number of books can be borrowed differ by the user’s status at Waseda University Library.

My Library

Due dates of the books you are borrowing and status of books you have placed holds can be viewed from WINE.

Loan periods of the books you are borrowing can be renewed also from WINE.

Return and Borrow at Circulation Desk

If the book on loan is not placed ‘hold’ by other users, borrowing the book again is available at the circulation desk right after returning it. 

Books borrowed from each library (Central, S. Takata, Toyama, Science and Engineering, Tokorozawa) and each students’ reading room can be checked out again at libraries and students’ reading rooms other than the library where the book is held. *
Faculty members may also check out books again at their school library.

*Note on libraries that accept return and borrow requests
– Undergraduate students cannot check out books again at the S. Takata Memorial Research Library.
– At the Science and Engineering Students’ Reading Room, only books in the Science and Engineering Students’ Reading Room can be checked out again.

Returning

Library materials must be returned to the circulation desk by the due date.

Books borrowed from each library (Central, S.Takata, Toyama, Science and Engineering, Tokorozawa) and each students’ reading room can be returned to libraries and students’ reading rooms other than the library where the book is held and at the locations listed below. *
Faculty members can also return books at their faculty library.
– Waseda University Senior High School Library (The senior high school faculties, staffs and students only.)
– Waseda University Honjo Senior High School Library
– Office of Graduate School of Information, Production and Systems
(Professors, researchers and graduate students those who have a base of academic activities at Kitakyushu Campus only. Feel free to contact the office for details.)
– Higashifushimi Campus office
(Professors, researchers and graduate students those who have a base of academic activities at Higashifushimi Campus only. Feel free to contact the office for details.)

*Note on the return circulation desk
– Undergraduate students cannot return books at the S. Takata Memorial Research Library.
– At the Science and Engineering Students’ Reading Room, only books in the Science and Engineering Students’ Reading Room can be returned.

*Note when returning books to a library other than the library where the books is held.
If the book is damaged, stained, or if there are notes written in it when you apply to return the book, you may be asked to return it at the owning library so that its staff will verify the condition.

*Please return the following materials to the library originally borrowed from.
– Material which is not checked out from barcode (through WINE system) such as books borrowed from Special Collections Room, Materials’ Room (School of Education) and Student Reading Room (Graduate School of Low).
– One-day loan books from Student Reading Room (School of Law)
– Reserved books at SILS library
– Books from the Tsubouchi Memorial Theatre Museum
– Books from the Waseda International House of Literature

You can return books to the book-return posts of each library and students’ reading rooms except the Central Library after the library is closed.
The return will be processed on the date of the next opening day.
Please note that there are no book-return posts in the Central Library.

You can also return books by mail service.

You can return them by mail service with traceable options (You-pack etc.) for the safety reason. We recommend you to keep the receipt of it.
・You are responsible for the returning including its cost.
・When you pack them for the shipping, please put them in a plastic bag in order to prevent damage by water.

Notices for due date

An e-mail about due date will be sent to your Waseda mail (for library card users and professors emeriti, preferred email address registered in the library system) 5 days before the due date.

  • The mail address of a mail sender is “[email protected]”. Please configure your mail reception setting for receiving mails from the Library.
  • If the message cannot be received, the system will not resend it. Please be sure to check the due date of materials that you borrowed at “My Library”([Menu] at the upper right of WINE → My Library).

When users lost  or damaged books

When users lost / damaged books, please report to library desks immediately. Users are required to pay for compensations following the library rules.

Reporting a lost/damaged book

  • Please report to the desk at the library where the lost book was last held and fill in the “Report on Lost (Damaged) Books” (For the Tokorozawa and the others Campus’s books borrowed via ILL service, please submit the report to the library where the book was checked out).
  • Lost/damaged books are considered “returned” at the time when the report is filed.

How to Pay for Compensations

When a replacement book can be purchased at a bookstore (except used bookstore)
  • In principle, a replacement (same book) should be purchased within two weeks of reporting a lost/damaged book.If there are different editions, Waseda University Library may specify the edition.
  • If replacement book(s) are not received within the designated time period, library privileges will be suspended until compensations are paid.
    If the arrival of a replacement book(s) will be delayed, please explain the situation to the library staff. The time period can be extended.
If a replacement book(s) cannot be purchased at a bookstore
  • If it is determined that it is ‘NOT’ difficult to obtain a used book(s)
    Please purchase a used book(s) in accordance with instructions from the library.
  • If the library determines that it is difficult to obtain the book(s)
    【Bill for compensations】

    The higher of the price of the lost/damaged book at the time of purchase or 3,000 yen (paperback/new books are 1,000 yen).
    The library that owns the lost/damaged book(s) will indicate what the bill will be for books from special collections or those with high value (price).
    【Request for whole-item copy】
    If possible, a request can be made to another library to copy and bind all pages of the same book to be added to the library’s collection.
    In this case, charges will include [copy + mailing + binding costs]. For damaged books, if the book(s) can be rebound for use, charges will be for bookbinding only.
    【Purchasing an alternative book(s)】
    Please purchase the book(s) specified by the library within two weeks.

Notes

  • If after compensations have been paid (or replacement book(s) purchased), the lost book(s) is found, the replacement book(s) or payment cannot be returned. However, please note that in this case, the lost book should be returned to the library.
  • Please contact the library immediately if you receive an overdue notice for a book that you believe you have already returned. If a return cannot be confirmed even after the matter is looked into, the book will be treated as lost. Penalty is added for the period from the due date until a report for lost/damaged books is made.
  • Please confirm your borrowing and return status regularly on the “My Library”.

When libraries are closed temporarily

When Waseda University libraries close temporarily due to official weather warnings, for example, and the due date falls on that day, please consult at circulation desk with the materials before returning them. We deal with it so that you receive no disadvantage.

When the due date falls on a day when the library is temporarily closed and another user has placed on hold/recalled the overdue materials, borrowing privileges will be suspended. You may not borrow new materials until the overdue materials are returned.

Overdue Materials

Suspension of the privileges (overdue materials)

In case that a borrower misses the due date to return library materials, he/she receives penalties. When borrowing privilege is suspended at one library on campus, this is also subject to apply at other libraries in Waseda University.

Suspension of Privileges (If the overdue material is placed on hold by another user)

If someone places a hold on the book that you are borrowing but you don’t return it by the due date, your borrowing privileges will be suspended. You will not be able to borrow new books as long as the overdue book remains unreturned. Once the overdue book is returned, your borrowing privileges will be resumed.

Notices for Overdue Materials

  • Notices are sent to your Waseda mail the following day after materials were due, and 4 days, 7 days, 14 days, 30 days, 60 days after the due date. These notices are sent automatically.
  • The mail address of a mail sender is “[email protected]”. Please configure your mail reception setting for receiving mails from the Library.
  • If the message cannot be received, the system will not resend it. Please be sure to check the due date of materials that you borrowed at “My Library”([Menu] at the upper right of WINE → My Library).

Renewal on WINE

Loan period can be renewed from “My Library”([Menu] at the upper right of WINE → My Library). However, in case that a book is placed a hold by other users or user’s borrowing privileges have been suspended, loan period cannot be extended. Please return the book by the due date.

  • You can renew due dates of borrowed library materials anytime from the following day of borrowing to three days after materials are due. There is no limit to the number of times of renewals unless the maximum days of borrowing is exceeded (Due date can be renewed once a day). The maximum days of borrowing is three times the initial loan period.
  • If you are borrowing materials over the maximum days, please return them and borrow them again at the circulation desk. However, in case that materials are placed holds by other users, or that your borrowing privileges have been suspended, you cannot borrow them again.
  • New due date is calculated from the day of renewal. Please be sure to check the new due date at “My Library”.

Holding

Items you may place hold

  • You may place hold requests on items that are not currently available, such as items “On Loan”, “In Transit”, “On Hold Shelf”, or “In Process”.
  • You may request an item that is only available at distant campuses to pick up at your campus, even if the item is listed as “Item in place /Loanable”. If the item is on the shelf at your nearby campus, you are expected to retrieve it yourself.
  • Libraries that can be designated as pickup locations vary depending on the items.

The way to request

  • Sign in to WINE and click ‘Request’ button in the Full Display page.’Request’ button will not appear when no item is available for request.

The way to check your request status

  • Notification e-mail: An e-mail will be sent to your Waseda mail (for library card users and professors emeriti, preferred email address registered in the library system) once your requested item is ready for pickup. The email will be sent from ‘[email protected]’. Please check your email settings so that you can receive emails from the library.
  • My Library: Signing in to WINE, you can check the status of your request via the ‘Requests’ tab on ‘My Library’.
