Scope of the Medical Fee Reimbursement System

Contracted hospitals (medical and dental)/contracted pharmacies

List of Contracted Hospitals, Clinics and Pharmacies

“Contracted Hospitals, Clinics and Pharmacies” refer to hospitals/pharmacies selected according to the selection criteria of the Waseda University Student Health Promotion Mutual Aid Association.

The Waseda University Student Health Promotion Mutual Aid Association has concluded partnership contracts with clinics/hospitals (10), dental offices (16), and pharmacies (3).

When you receive treatment from a contracted hospital (only treatment covered by insurance) or when you request dispensing at a contracted pharmacy within the scope of medical insurance coverage, you shall be automatically (*) eligible for medical fee reimbursement by presenting your Student ID (= membership card for the Waseda University Student Health Promotion Mutual Aid Association).

☆ (If you do not present your Student ID, you shall not be eligible for medical fee reimbursement.)

*However, you must properly register the “account under the student’s name” on MyWaseda in advance. ⇒Reference

【Attention】Medical Fee Reimbursement System and Health Checkup Coverage are only applicable to our members. Not available for Non-Degree students such as exchange students, Commissioned students, students of the Center for Japanese Language, and special foreign trainees. Please note that although Non-Degree students can receive a medical examination and treatment, will not be eligible for Medical Fee Reimbursement or Health Checkup Coverage payments.

*Each contracted medical institution provides support in English or other language using staff with language skills and translation equipment. Please note, however, that some contracted medical institutions provides supports only in Japanese. For details, please contact each contracted medical institution directly. (April 1, 2024)

If you are visiting a “contracted hospital” or receiving medication from a “contracted pharmacy”

1) What to bring

  1. When you visit a contracted hospital/pharmacy, be sure to bring your “Student ID” and “insurance card.” Also, bring them in case of continued treatment. (It is not necessary to bring the “application” form)
  2. You will be required to temporarily pay the medical fee on your visit, so be sure to bring the money to cover the fee. On a later date, the self coverage amount from 1,000 yen deducted shall be transferred to the account under the student’s name.

2) What to do at the “contracted hospital/pharmacy” counter

  1. Present “Student ID” and “insurance card”
    Present your “Student ID” and “insurance card” at the reception counter. Inform them that you are a Waseda University student and that you would like medical fee reimbursement by the Waseda University Student Health Promotion Mutual Aid Association. (Unless you present your Student ID, the hospital will not recognize you as a Waseda University student. You may not be able to receive medical fee reimbursement.)
  2. Informing of changes
    In case of the changes below, be sure to inform us of them.
    –If your Student Number has changed due to a change in your school/major, shift from undergraduate to graduate school, etc.
    *If your Student Number remains the same, you may be excluded from the scope of medical fee reimbursement for the reason of student status change.

3) You do not need to take the procedure to apply for medical fee reimbursement

If you visited a contracted hospital (clinic/dental office) or pharmacy, the treatment/dispensing data will be directly sent to the Waseda University Student Health Promotion Mutual Aid Association from the contracted hospital/pharmacy, which will be processed accordingly. Therefore, you do not need to apply for the medical fee reimbursement.

However, you must properly register the “Personal Account” through MyWaseda in advance. ⇒Reference

*If you were treated at a contracted hospital and received medication from a non-contracted pharmacy or if you were treated at a non-contracted hospital and received medication from a contracted pharmacy, you need to apply at the application reception counter of the university. Fill out the “Medical Fee Reimbursement System application” on your own and submit it to the reception counter of the Waseda University Student Health Promotion Mutual Aid Association along with the receipt issued by the pharmacy (photocopy is accepted). Refer to here for details.

In case of any inconsistency between the Japanese version and the English version, the Japanese version shall prevail.
