See below for instructions on arranging visits, writing letters of introduction (referrals), and sending ILL requests (physical books, photocopies).

Waseda University Library is not open to the public, but only available to visitors (researchers and students) who are doing research and who wish to use specific books and other materials that are unique to the library, and not available in other libraries.

For in-person visits, a letter of introduction (referral) from the patron’s affiliated library or public library is required.

It is also advised to make sure that the material needed is stored in the library using the Discovery Service (WINE). You can also send us an e-mail request for verification.

Using Waseda Libraries and Letter of introduction

A letter of introduction (referral) from the library of affiliated institute is required for visitors and the general public who wish to use the Waseda University Library.

There is no set format for the letter of introduction, but the following items should be included:

  • Patron name *required
  • Patron s affiliation/university name or address *required
  • Patron’s phone number or e-mail address *required
  • Contact address of the library that issued the letter of introduction *required
  • Specified date or period of visit
  • Bibliographic data on the materials for use (limited to materials not available in public libraries)

Interlibrary Loan (ILL): Lending Policy to Foreign Libraries

For requesting document copy and books and other materials through Interlibrary Loan (ILL), please see following.

How to request

  1. Requests are accepted via OCLC, Mail, E-mail and FAX.
  2. We do not accept telephone requests.
  3. We only accept requests from academic organizations, not from any individuals or corporations.
  4. The service will be suspended in the following periods. For OCLC-ILL users, we don’t accept any request in these periods, so please don’t request by FAX or E-mail.
  • Summer Holidays:
    Mid-August, for about two weeks
  • Winter Holidays:
    From the end of December to the beginning of January, for about three weeks
  • Spring Holidays:
    From the end of April to the beginning of May, for about two weeks

Regulations

We will stop the service when books and payments could not be received by the due date.

Loan (Books only)

  • Loan period:
    4 weeks. No renewals are allowed, as a rule.
    A single 4-week renewal will be permitted for exceptional cases.
  • Restriction:
    Library use only
  • Return:
    Return the loaned item via air mail, boxed (no jiffy bags, please) for protection. The returned book must reach us by the due date.
  • Charge:
    Payment must be done in advance except via OCLC’s IFM.
  • Due date for remittance:
    Early payment is encouraged. Request will be cancelled without a contact in some cases, if we don’t receive the payment for a long time.

  • Non-circulating material:
  1. Items stored in certain libraries that do not permit lending (Takata Memorial Library, Toyama Library, Sci. & Eng. Library, Student Reading Rooms, School Libraries and Theatre Museum Library)
  2. Rare and antique books (special collection items)
  3. Books published in the Meiji era
  4. Reference books
  5. Journals and periodicals
  6. Microform and audiovisual items
  7. CD-ROM and other machine-readable items
  8. Items stored in multiple libraries in the requesting institution’s country
  9. Items in poor condition (ex. published between 1930-1950)
  10. Oversized books (including items weighting more than 5 kilograms)
  11. Theses and dissertations (including UMI dissertations)
  12. Other items as designated by the Director

Photocopies

  • Restrictions:
    We provide copies of library items according to the copyright laws of Japan. Our library regulations apply to all requests for copying entire pages of rare collections and materials published in the Meiji era.
  • Charge:
    Payment must be done in advance except via OCLC’s IFM.
  • Due date for remittance:
    Early payment is encouraged. Request will be cancelled without a contact in some cases, if we don’t receive the payment for a long time.
