1. About obtaining your Waseda ID

Your Waseda ID is an extremely important information that you require to obtain an email address after admission, log in to the student portal site MyWaseda, register for courses, etc.
“Waseda ID Users’ Copy” will be displayed on UCARO around August 28. Please follow this procedure to confirm your “Waseda ID Users’ Copy”, and obtain your email address and log in to MyWaseda well in advance of the date you will use it for course registration, etc.
For the specific date and time when you will be able to use your “Waseda ID” to obtain a Waseda University email address, please refer to the “Available Date and Time for Login” (scheduled on August 28) on your Waseda ID Users’ Copy.

 

 

2. About “Entrance Ceremony “

Date: Sunday September 21, 2025
Starting time: 11:00~(JST)
Place: Kitakyushu Science and Research Park Conference Hall

*Please attend in a suit or similar attire.

3. Receiving your student ID card

Date: Sunday, September 21, 2025
Time: 14:00~14:30 (JST)
Place: Lecture Room in Building S, IPS
(Specific room to be announced later)

*Please bring to application card (受験票)to receive your student ID card. No mail shipping is available. If you cannot receive it on that day. Please come to IPS office later.
*The application card(受験票) can be output from the TAO at the time of application (except for internal, non-degree and research students in the doctoral course).
*If you do not have an application card (e.g., in the case of advancing from the Master’s to the Doctoral Program), please bring a valid form of identification such as your residence card.

 

How to confirm your Student ID number (For New Students)

Your student ID number is printed on your student ID card.
Even if you have not yet received your student ID card, you can also confirm your student ID number using one of the following methods:

  1. After you have completed “1. Obtaining a Waseda ID” above, Log in to MyWaseda and go to [View/Update Your Own Profile] on the left menu of [Home] global menu.
  2.  Click “Update Student Profile”
  3. You can find your Student ID (8 digits) under the Personal Information column.

4. Guidance schedule

Zoom information will be sent to you at the time of application and to your Waseda Mail email address by the day before the course guidance on September 11. Please be sure to check your email address every day.

  • Thursday, September 11 – Course Guidance *All students are required to participate

10:00~11:30(JST) – Guidance for Master course students (English Version: excluding F-Course) (To be posted at a later date.)

10:00~11:00(JST) – Guidance for Doctor course students (To be posted at a later date.)

11:00~11:30(JST) – Guidance for non-degree students and Exchange students (To be posted at a later date.)

(Note) In addition to the guidance materials above, please carefully read this Study Guide as well. The Study Guide serves as the foundation for all aspects of student life at IPS and is an essential document. Therefore, we strongly encourage you to read it carefully before enrollment.
The first half contains the Japanese version, and the second half contains the English version.
A printed copy will also be distributed together with your student ID after enrollment.

    Participation in all sessions is strongly recommended for future laboratory assignment.

For details such as the schedule of each faculty member’s presentation, please refer to the “Schedule of Introducing Laboratories” (to be posted at a later date).

5. (Master’s course students only) About provisional assignment to a laboratory (except for those who have already been assigned to a laboratory, such as F course students)

As explained in the course guidance on September 11, master’s course students (except those who have already been assigned to a laboratory, such as F course students) will be provisionally assigned to a laboratory for the first six months, and then they will be assigned to an official laboratory. Please refer to the course guidance materials and this IPS Square page, and proceed with the interview with IPS professors.

 

 

6. Classes for Fall semester 2025

In principle, lectures in 2025 will be held face-to-face.
Please check the syllabus for details on each course, IPS Schedule and Timetable.

 

 

7. Course registration schedule

All students must register courses by yourself with your responsibility as we released all the necessary information on the web.

For details, please refer to the course guidance materials above and IPS Square”Course registration”

 

8.About dormitory

9. Student Health check up

*Only students who are in Kitakyushu campus. If you are in abroad, you cannot take this.
Please check the schedule for medical checkup in the above guidelines and gather to ensure you are not late for the reception time.

Information for students from the Graduate School and the University will mainly be sent by the following means

Please be sure to check the above regularly so that you do not miss any information from the Graduate School and the University. In particular, please bookmark the “IPS Square” page so that you can check it immediately. Also, be sure to check your Waseda Mail every day and respond immediately to emails from the IPS office and other sources.
When students contact the IPS office by e-mail, they must include their student ID number and name.

Notices requiring Japanese language proficiency for scholarships, job hunting, etc. will be provided in Japanese only.
Notices of openings regardless of language ability will be provided in both English and Japanese.

11. Important] (New Students) Registration for Tuition and Fees Withdrawal Account

At Waseda University, tuition and other fees are paid each semester by direct debit (automatic withdrawal). Therefore, it is necessary to register for a tuition and fees debit account on your own.

  • Before and After Arrival in Japan

In principle, we do not accept applications for visa renewal before enrollment. Any renewal procedures prior to enrollment must be carried out at the Immigration Services Bureau nearest to your current residence. However, if your period of stay is set to expire around the time of enrollment (e.g., September 21), please consult with the IPS Office in advance.
