The library is launching a pilot program of the new service,
Electronic Document Delivery Service (e-DDS)
from November 26, 2025 on.
This service is intended to support the research activities of Waseda University faculty and affiliates by providing PDF copies of a part of materials held in the university library’s collection.
- This is a paid service.
Applicants are responsible for covering the cost of compensation fees stipulated under Article 31, Paragraph 5 of the Japanese Copyright Act, as well as administrative handling fees, in accordance with the “Rules on Remuneration for Public Transmission by Libraries or Similar Facilities.” Please note that the library does not provide financial support for these fees. For more details, please refer to section “4. Fees and Payment Methods” below. - The files provided through this service are scanned at a resolution of approximately 200 to 300 dpi. In principle, the materials are delivered as color PDF files. All pages will include a watermark.
- OCR (Optical Character Recognition) will not be applied to the PDF files. As a result, the text and numbers within the files will not be recognized as editable text. Therefore, functions such as text search, copy, and paste will not be available. *sample (TBA)
- Use of this service requires prior agreement to the Terms of Use. Please read them carefully before applying.
- Some older newspapers and documents may contain text that is difficult to read due to aging, paper quality, or print condition. Additionally, when scanning bound volumes or thick books, text near the binding may not be clearly captured. While we make every effort to reproduce materials carefully, we do not offer reprocessing for issues such as unclear text, uneven image quality, or stains on the original documents.
1. Service Overview
- This service provides PDF copies of portions (within the limits permitted by copyright law) of materials held by Waseda University Library, including books, journals, newspapers, and microforms.
- The service is intended solely for the personal research and study.
- According to Copyright Law, each person may request one partial copy per item and sharing the file with others may constitute infringement.
Please refrain from sharing the acquired PDF file outside your personal use — this includes students in classes and Zemi (seminars), researchers in any groups, or any third parties — or duplicating it elsewhere.
2. Eligibility
This service is available exclusively to full-time faculty members and graduate students affiliated with Waseda University who are eligible to use the university library and have agreed to the terms of use.
- Full-time faculty members:
Professor, Associate Professor, Assistant Professor, Teacher (Affiliated Senior High School), Research Associate, Professor (without tenure), Associate Professor (without tenure), Assistant Professor (without tenure), Professor (tenure-track), Associate Professor (tenure-track), Assistant Professor (tenure-track), Instructor (without tenure), Senior Researcher, Senior Researcher (Professor, Assistant Professor), Researcher (Associate Professor, Assistant Professor), Junior Researcher, Junior Researcher (Assistant Professor), Full-time Staff, Full-time Contract Staff - Current Graduate Students (incl. non-degree students)
※The eligibility criteria may be expanded depending on user demand during the pilot phase.
3. Eligible materials
Materials held by Waseda University, including books, journals, newspapers, and microforms, are eligible for this service, excluding those listed as “Non-Eligible Materials.”
Non-Eligible Materials
The following are examples of items excluded from this service. In addition, requests may be declined if the materials are deemed unsuitable for digitization due to deterioration or other conditions.
- Materials designated as excluded by the Society for Administration of Remuneration for Public Transmission by Libraries or Similar Facilities (SARLIB)
- Published sheet music, maps, photo books, and art collections
- Magazine articles published within one year
- Rare books, antiquarian books, and publications from the Meiji era
- Oversized books and electronic media such as CD-ROMs
- Materials shelved in specialized collections, including the Waseda International House of Literature, the Faculty of Education Mathematics Resource Room, Educational Psychology Resource Room, Earth Sciences Resource Room, and the seminar/course rooms in Toyama Library
- Materials already available through the National Diet Library’s Digitized Contents Transmission Service for Libraries
- Materials whose copyright protection period has expired
4. Fees and Payment Methods
Payment can be made either through university funds or personal funds. Please specify your preferred payment method when submitting your request.
If you choose to pay using personal funds, the library will issue an invoice, and you will be asked to make a bank transfer.
Please note that any transfer fees incurred must be paid by the user.
This service involves the following two types of fees:
(1) Compensation fee based on the regulations set by the Society for Administration of Remuneration for Public Transmission by Libraries or Similar Facilities (SARLIB)
(2) Administrative handling fee
An estimated fee schedule is provided in the table below.
(1) Compensation fee
- The prices listed in the table above are subject to consumption tax.
- ¥100 will be charged for each page beyond the first.
- When requesting a two-page spread, the fee will be calculated as the cost of two pages. If you only need one side of the spread, please specify the page number clearly.
(2) Administrative handling fee
Example of fee calculation:
For a book priced at ¥2,000 with 100 pages, if a request is made for 10 pages:
(1) Compensation fee
¥2,200
= ¥2,000 (book price) ÷ 100 (total pages) × 10 (requested pages) × 10 (coefficient) × 1.1 (consumption tax)
*Assuming one scan per page
(2) Administrative handling fee
¥550
= ¥20 (copy fee per page) × 10 (requested pages) + ¥350 (basic fee)
Total: ¥2,750
5. Limits of applications and pages
Please limit your applications to once every two weeks. Each application may include up to five requests.
- In principle, the maximum number of pages per request is 50 pages, with a total limit of 250 pages per application.
- However, for each individual work, the requested portion must remain within the limits defined by copyright law (i.e., no more than half of the entire work), regardless of whether the pages are consecutive or non-consecutive.
Magazine articles published within one year of the publication date and the latest issue of newspapers are not eligible. - If you wish to submit more than the allowed number of requests, please consult with us in advance.
- Copies obtained through on-campus or off-campus ILL (Interlibrary Loan) services are not counted toward the application limit.
- Requests involving a large number of pages or materials in poor condition may take longer to process.
- Urgent requests or those with specific delivery dates cannot be accepted.
