When to Take Action
You must take immediate action regarding your residence status by applying through the CIE website <https://www.cie-waseda.jp/visastatus/en/> in the following situations:

Date of expiration within 2 months / Leave of absence / Withdrawal / Studying abroad – outside of Japan / Return or Re-enrollment to Waseda / Start Part-time job / Taking part in a paid internship / Leaving Japan temporarily

Scholarship
Scholarships for Waseda students fall into two main categories.
- University-Nominated Scholarships
- Direct Application Scholarships
The application procedures are different for each category. If you wish to apply for a scholarship, please review the information below carefully and make sure you are following the correct process.
University-Nominated Scholarships
- Applicants for University-Nominated Scholarships must register during the designated period. Please note that this deadline is final and will not be extended for any reason.
- Successful nominees will be notified via their Waseda email. Only selected candidates will be contacted.
- We are unable to disclose the selection criteria or individual nomination results. Thank you for your understanding.

Direct Application Scholarships
- For this category of scholarship, students must apply directly to the sponsoring organization.
- Our role at the Tokorozawa Administrative Office is limited to advertising the opportunities. We do not handle any part of the selection process, nor do we have information about any scholarships NOT presented here.
- Consequently, we are unable to respond to inquiries regarding:

Changes to Your Student Status
A change in your student status (e.g., leave of absence, withdrawal) always requires separate procedures regarding your scholarship and Visa. You must visit these websites and complete all required procedures.

Returning to the University
The procedures required upon your return to Waseda differ depending on whether you are returning from a leave of absence or from studying abroad. [Doctoral Program Only] Withdrawal upon Completion of Research Guidance / Research Student Status
1. Withdrawal upon Completion of Research Guidance
To apply for this type of withdrawal, please submit (1) the designated application form and (2) your student ID card to the Tokorozawa Administrative Office. The application process is the same as for a voluntary withdrawal, but a different form is required.

Overview
This option is available to students who have been enrolled in the Doctoral Program for three or more years — including those who have reached the maximum enrollment period — and whose academic supervisor has determined that all necessary research guidance has been completed. Periods of leave of absence are excluded from the enrollment count.
This type of withdrawal carries different implications from a voluntary withdrawal or dismissal due to exceeding the maximum enrollment period:
Alumni status: You will be treated as an alumnus/alumna in the same way as undergraduate graduates and master’s completers. Re-enrollment is generally not permitted. For continued access to university services such as your Waseda email address, please refer to the links below.
Doctoral dissertation submission: Within three years of your withdrawal date, you may still submit a doctoral dissertation as a degree candidate through coursework. Please note that the three-year window refers to the date of the Graduate School Management Committee meeting at which your dissertation is accepted for review — these meetings are held every year in June and November.

Important notice for doctoral students regarding Automatic Registration
Please be aware that “Introduction to Academic and Research Integrity” is automatically registered. Under university-wide regulations, all students pursuing a doctoral degree are required to pass this course. If you do not pass, you must re-register manually and retake it until you do.
A number of doctoral students have failed this course simply because they were unaware it had been registered. Note that F/Q (Fail) grades cannot be removed from your academic record under university-wide rules, regardless of the circumstances. There are no exceptions.

Secondary Supervisor
The Graduate School of Sport Sciences requires all students to designate a secondary supervisor. The purpose of this is to ensure that students have access to academic advice and guidance — on research progress, coursework, and related matters — from a faculty member other than their primary supervisor.
About the secondary supervisor:
- The secondary supervisor must be a professor, associate professor, or lecturer (including fixed-term faculty) affiliated with the Faculty of Sport Sciences, Waseda University.
- This faculty member is expected to serve as a secondary examiner at the time of your dissertation defense.
- You are required to consult with your primary supervisor, identify a candidate, obtain that candidate’s agreement, and report your secondary supervisor within two months of enrollment.
- Changes to your secondary supervisor are permitted as your research progresses.
