Certificates

*Some countries and regions are experiencing delivery delays and suspensions due to the present international situations.
*Certificates are not offered by e-mail or in digital formats. For certificates that can be applied for online, a download link for digital certificates (PDF data of the certificate) can be sent directly to employers, educational and research institutions, etc (from the afternoon of October 16, 2023).

Certificate Issuance Service

You can request certificates online anytime of the day and receive them at convenience stores (Seven-Eleven, Family Mart, Lawson) throughout Japan.

Some certificates cannot be requested using the online registration system.If you wish to apply for a certificate that you can apply for online and one that you cannot, you can apply for them together at the CJL office (or you can apply for them individually).

*1 We recommend that you also prepare your transcripts and course registration certificates when submitting them to the Immigration Bureau, etc. for procedures related to your status of residence.

Listed below are the types of certificates that can be issued by the Center for Japanese Language (CJL).
Different certificates are issued for different programs. Please check your program before requesting a certificate.

Those who have completed the period of study

How to apply

You must bring the following items to the CJL office:

  • Valid ID (e.g. driver’s license,  passport,  residence card)
    *Original only acceptable. Please don’t show the scanned copy or uploaded image on the devices.
    Certificate fee (Current Student: 300 yen per sheet, Alumni: 400 yen per sheet)
    ※Payment is by cash only acceptable. Credit cards and online payments are not accepted.

Please present your ID and fill out the Application for Certificates Form at the office counter

Bekka Program: 1-year program students entered from AY 1990 to AY 2012

  • Copy of a valid ID (e.g. driver’s license, passport, or residence card)
    * If you are using your “My Number” card as an ID, send the copy of the front side only. Do not send the copy of the backside where the Individual Number  is visible.
  • Postal money order (“Teigaku kogawase”) for the Certificate fee
    (Current Student: 300 yen per sheet, Alumni: 400 yen per sheet)

Available at post offices in Japan. Please send blank Postal money order. Please don’t fill in any field by yourself.  Sample

  • Postal stamp(s) for sending certificate(s)
    You may select regular mail or express mail of JAPAN POST. Postage varies with the number of certificates, requirement for proper envelope sealing and type of return mail (regular or express). Please refer to the fee page.

※We only accept payment by the above methods. In principle, credit card payments and bank transfers in Japan are not accepted. Please be noted if you pay by any method other than the specified method, we will not be able to confirm the receipt of your payment and your certificate may be delayed or not issued.

Caution

※Payment method
Payment can only be made by overseas remittance. If you wish to pay by IRC, please ask to the CJL office in advance. In principle, credit card payments and bank transfers in Japan are not accepted. Please be noted if you pay by any method other than the specified method, we will not be able to confirm the receipt of your payment and the issuance of your certificate may be delayed  or not issued.

※Bank fees for overseas remittance
(1) When you effect the overseas remittance at the bank, please specify “OUR” for the Detail of Charge 71A. (OUR: All fees are to be “borne by the sender”).
All charges for overseas remittance for sending and receiving are the responsibility of the certificate applicant. The amount of charges varies depending on the using bank and/or the amount of money transferred, but can be as much as JPY 5,000.
(2)  When the amount is 3,000 yen or less, the receiving bank (MUFG bank) ‘s handling fee  (Usually 2,500 yen), is not charged. However, other bank charges will be charged. Even if the amount is 3,000 yen or less, you have to specify “OUR” as the detail of charge 71A.
3) If the payment is not received in full, the shortage have to be paid.
4)Please complete the remittance procedure within one week after we sent the remittance information to you by email.
In case, you neglect the checking our feed back e-mail or didn’t take any necessary procedure, you will not receive your certificate in time.

※When to send your certificate
Certificates will only be sent once we have received your payment. If you are hurrying, please apply the certificate and complete the payment soon. Please note that we do not issue certificates by email or electronic data.

※How to send a certificate outside Japan
Certificates will be shipped outside of Japan via EMS (Express Mail Service); alternative shipping methods and rates will be provided for those in areas where EMS is not available. Please contact us before applying for a certificate if you would like to use a different delivery method.

 

Apply at the CJL office (by Proxy person)

To protect privacy, Waseda University only issues certificates when requested personally. If there is a compelling reason why a request must be made by proxy, the criteria below must be met.

The proxy must bring the following items with him/her to the office:

  • Proxy’s valid ID (e.g. student ID, driver’s license, passport, residence card)
    *Original only acceptable. Please don’t show the scanned copy or uploaded image on the devises.

  • Fee  (alumni: 400 yen per sheet; students: 300 yen per sheet)

Apply by Domestic Mail (by Proxy person)

* If you create your own power of attorney form, include the following information and provide it to the agent:
(1) Your (principal) information: student number (if you are a Waseda University student), name (hand-written), and seal impression or signature (hand-written)
(2) Details of authorization, reasons for authorization, and the name of proxy
(3) Proxy information: student number (if he/she is a Waseda University student), name (hand-written), seal impression or signature (hand-written), relation to the principal, street address, and phone number.

【Reference Information】
Where to purchase: Savings counters at post offices in Japan

Types of Postal Money Orders: 50 yen, 100 yen, 150 yen, 200 yen, 250 yen, 300 yen, 350 yen, 400 yen, 450 yen, 500 yen, 750 yen, 1,000 yen

Issuance fee: 100 yen per sheet

How to apply for a Postal money order
1) Go to a post office and fill out a Postal Money Order application form.
An example of how to fill out a Postal money order application form
2)Place the application form at the counter that handles savings and money orders.
3) Pay the fee and receive the Postal money order.

Example: When the certificate fee is 1600 yen
Postal Money Order: 1,600 yen (200 yen x 1 sheet, 400 yen x 1 sheet, 1,000 yen x 1 sheet)
Handling fee: 300 yen (100 yen x 3 sheets of Postal money orders)
Amount to be paid to the post office: 1,900 yen

If you get the amount you need in fewer sheets, the handling fee will be lower.

There are several fields on the Postal Money Order, but do not fill in any of them. When you get it from the post office, send it directly to the CJL office. (Surface is blank)
