1. For those who wish to extend their period of stay
If you wish to extend your period of stay, please carefully read [About Extension of Period of Stay (IPS Square page)] and prepare the required documents accordingly.
2. For those who wish to change their status of residence
Waseda University only handles applications for changing your status of residence to “Student.”
Please carefully read [About Changing Status of Residence (Waseda University Center for International Education page)] and prepare the required documents.
For the Application for Change of Status of Residence (For Applicant) to be submitted to the IPS Office, please use [this form].
Once you have prepared all necessary documents, bring them along with your Student ID Card, Passport, and Residence Card to the IPS Office.
If all documents are complete and correct, the IPS Office will issue the “For organization” document required for submission to the Immigration Services Agency.
3. [Important] Notification to the University regarding your status of residence
After receiving your new Residence Card, you must notify the university of your updated status of residence within 14 days using the form below:

4. Notification of Overseas Travel for International Students (For IPS)
If you are a currently enrolled IPS student and plan to temporarily leave Japan, you must inform your academic advisor and submit the Notification of Overseas Travel for International Students to the IPS Office.
Please read [this page] carefully and make sure to follow the necessary procedures.
5. Notification to Immigration Bureau regarding your affiliated institution
(Especially for new students)
If you already hold a status of residence in Japan, you must submit a Notification of Affiliated Institution to the Immigration Services Agency within 14 days of the date of admission.
Online application is available. Please make sure to complete this procedure by yourself.

Please carefully read the Immigration and Residence Management Agency [Notification regarding the organization you belong to (activity)]
and notify the Immigration and Residence Management Agency.
6. If your Residence Card has expired due to returning to your home country (e.g. during a leave of absence), and you wish to be reinstated
If you wish to be reinstated, you must obtain a new Certificate of Eligibility (COE).
The IPS Office will apply on your behalf, so please read [For New Entrants and Applicants: Proxy Application Procedure for Certificate of Eligibility] carefully and submit the required documents.
Note: The screening process at the Immigration Services Agency may take 2 to 3 months. Be sure to avoid submitting your documents just before the intended date of reinstatement.
Recommended submission periods:
- For reinstatement in the Spring Semester: between November and December of the previous year
- For reinstatement in the Fall Semester: between May and June of the same year
Other procedures related to status of residence
- Reissuance of Residence Card
- Application for Permission to Engage in Activity Other Than That Permitted under the Status of Residence Previously Granted (e.g., part-time work under a Student Visa)
- Change to Designated Activities Visa (e.g., to continue job hunting after graduation)
- Change of status due to employment (for students who have received a job offer in Japan)
- Temporary departure from Japan for home visit or overseas travel during long vacation periods (Re-entry Permit)
