Admissions in General

Do I need to contact the desired faculty advisor before applying?

Applicants to the master’s program do not need to contact the desired faculty advisor before applying.
Applicants to the doctoral program need to contact the desired faculty advisor and obtain consent before applying.

What is the difference between domestic and overseas applications?

Regardless of the applicant’s nationality, please choose based on your place of residence.

Overseas application: A method for applicants residing outside Japan to submit their application documents from abroad.

Domestic application: A method for applicants residing in Japan to submit their application documents from within Japan.

Are there any test sites other than the one in Kitakyushu for the domestic application?

Yes, in addition to Kitakyushu, the exam is also held in Tokyo (at Waseda University).

Is it possible to take an exam twice and more in one year?

Yes, it is. As long as you like, but you can’t take multiple application categories at the same time.

Are past exam papers available to the public?

No, they are not available to the public.

Is it possible to apply to other graduate schools at the same time?

Yes, it is possible.

What is the ratio of successful to total applicants in a previous entrance examinations?

It is not disclosed.

Will the research preferences I enter on the application form influence the opportunities open to me after admission?

The statement of preferences is for reference only and will not influence your opportunities after admission.

Which of the application documents receives the most weight from the Admissions Office?

The Admissions Office makes an overall judgment based on the submitted research plan and responses to interview questions.

I do not have a master's degree. Would it be possible to apply for a doctoral program at IPS?

You may apply if your application complies with the university’s regulations and you are deemed qualified for admission to IPS. For details, please consult the “Qualifications for Application” section of the Admission Guide. If you then have any questions, please inquire with the Admissions Office.

I come from a liberal arts background. Is mathematical ability required for studying at IPS?

IPS is primarily an engineering-focused institution, but many students from liberal arts backgrounds also enter to study information science or management engineering. While IPS accepts a diverse range of students from both domestic and international backgrounds, some research labs may require strong mathematical skills. Please contact the faculty member in charge of the research lab directly via email to inquire about specific requirements.

My undergraduate major is different from the field of IPS. Am I still eligible to apply?

Yes. Even if your undergraduate major differs from your desired field of study, you may apply as long as you meet the application requirements.

Application Documents

A bachelor's thesis was not required in my undergraduate school. In that case, what should I write on the "Overview of previous bachelor's thesis or master's thesis 【Form 4(A)】"?

Please describe a report corresponding to a bachelor’s thesis, results of previous research, etc.

I have not graduated yet, so it is impossible to submit the certificate of graduation and the accademic transcript by the application deadline. What should I do?

Please submit a certificate of expected graduation and an academic transcript of records at the time of application. Please submit the final certificate at the time of admission.

I have no papers, no history of presenting papers, and no publications. Should I submit the overview of my work history?

In the case that you have not presented or published papers, nor have any publications, a job description related to your research or desired research would be acceptable.

I plan to reapply. Do I need to resubmit the application documents that I submitted for the previous admission process?

Yes, if you wish to reapply, you must submit all required documents again. Previously submitted documents cannot be reused.

I have sent my application documents. Can you confirm if they have arrived?

We do not provide individual notifications regarding the arrival of documents. Please use the tracking number provided at the time of shipment to check the delivery status on your own.

I have sent my application documents, but the "Receive Status" in the "List of postal documents" on TAO has not been updated.

The “Receive Status” will only be updated to “Received” if there are no deficiencies in both the mailed documents and the information entered on TAO. If there are any deficiencies, the status will be updated after all issues have been resolved.
Please note that we review the documents in the order they are received, so it may take some time for the status to be reflected. Thank you for your understanding.

I have mailed my application documents. Can you check if all the required documents have been submitted correctly?

We do not provide individual confirmation of submitted documents. Please carefully review the “Application procedure” section and the “Instructions for application and documents to be submitted ” in the Application Guide to ensure everything is prepared correctly.
If there is any issue or clarification needed regarding your submitted documents, we will contact you via the TAO messaging system.

I have entered my recommender's information in TAO, but my recommender has not received the email.

Please refer to the “Instructions for the Recommenders” and “FAQ” for important notes.
If the issue appears to be system-related, please contact the TAO Help Center directly.

I would like to complete my application on TAO, but I cannot click the "Complete my application" button.

What is the difference between this campus and the other campuses (Waseda / Nishi-Waseda)?

IPS is a practical, interdisciplinary engineering graduate school with a strong focus on internationalization and industry–academia collaboration. Please also refer to the page about our graduate school for more information.

How can international students receive a scholarship from the Japanese government (Ministry of Education, Culture, Sports, Science and Technology)?

What is the probability of being able to get a scholarship?

Please refer to ‘Achievement of adopted scholarship’ of last year. Note, however, that the number and variety of scholarships and the rate of recipients will differ from year to year.

How and when should I apply for a scholarship?

Those who wish to be awarded scholarships are required to complete the appropriate procedures for registration. Pertaining to scholarships which require nomination by the university, IPS nominates candidates based on their academic performance and financial situation. In each case, applicants are requested to submit an application and necessary documents. (Japanese and permanent resident foreigners only).
In addition to the above-mentioned scholarships, there are scholarships students can directly apply for. In each case, the information is posted on the IPS bulletin board. The information for international students is also posted on the IPS bulletin board and the bulletin board of the Center for International Education (international students only). Applicants must complete the necessary procedures.

Additionally, there are some scholarships which can be applied before admission.

Courses and Curriculum

Are the classes at IPS held in Japanese?

Most of the classes at IPS are held in both English and Japanese.

I would like to take Japanese language courses.

Please refer to the Introduction to Japanese Learning Websites (External Resources).
You may also register for Japanese language courses offered within the Science and Research Park.
Although additional tuition fees are required, the university provides partial financial support for these course fees.

I would like to apply for IPS though I am working at a company. Would it be possible to obtain the necessary credits for completion by attending only those classes conducted at night and on weekends?

IPS gives classes from the 1st period (starting at 8:50 am) to the 6th period (from 18:55 to 20:35). A working person should select classes in the 6th period and on Saturdays, and also one or two weekdays. It will be necessary to make out your registration schedule according to the IPS timetable and the curriculum. If you choose to study while continuing to work, your motivation and commitment, and your employer’s understanding, will be essential. Please consider these factors carefully before applying.

I would like to know what time classes are available.

Classes are available from Monday to Saturday. The first period starts at 8:50 in the morning. The last period starts at 18:55 and finishes at 20:35.

Housing

I would like to move in the university housing.

International students can apply to stay in the “Kitakyushu Science and Research Park International Student Dormitory” or the “Waseda Dormitory,” both located within the Kitakyushu Science and Research Park, or in privately-leased dormitories. The monthly rent ranges from JPY 12,500 to JPY 20,000, depending on the resident’s income from the previous year. Additionally, residents are responsible for their own utility costs, including water, electricity, and internet fees. Application forms will be sent to all international students along with the admission letter. If you wish to apply for dormitory accommodation, please submit the form together with your enrollment documents.

Please tell me about the housing facilities.

Air conditioning and heating, a mini kitchen, a unit bathroom, a bed, a study desk, a network port, and lighting fixtures are provided.
Please note that bedding, chairs, curtains, and cooking utensils are not included.

How far is the housing from the school?

Waseda Dormitory: 5 minutes on foot / HIPPO!8: 20 minutes on foot / Sun Heights Koharu: 20 minutes on foot / SUNPIA Isegaoka: 20 minutes on foot.

How much does the housing cost? Also, what are the payment methods?

The monthly fee is 12,165 JPY (including a 165 JPY bank transfer fee).
Additionally, an annual fire insurance fee of 4,000 JPY is required.
Payment is made by automatic bank transfer from your account.

Can friends or family stay overnight when they visit?

Overnight stays by friends or family are not permitted.

Are utility fees (electricity, water, etc.) included in the housing cost?

Utility fees are not included. Each resident must arrange and pay for utilities for their own room separately.

How many people share a room in the housing?

Each room is shared by two people.

Is internet access available?

Each room is equipped with a LAN cable port for internet connection.

Does IPS plan school information session for prospective applicants?

Yes, it does. IPS sets school information session and open days several times in a year. Check the schedule on the page. You will prepare a form to join.

Please tell me about job hunting and internships.

There are Japanese companies that actively hire international students, and many IPS graduates are excelling in their careers.
You will be provided with opportunities to receive support for internships and job hunting from professors with corporate experience and recruiters who are alumni of Waseda University.
