Notification of Overseas Travel by International Students

International students enrolled at IPS who plan to be outside Japan for 30 consecutive days or more are required to submit the “Notification of Overseas Travel by International Students” in advance, prior to departure.
This notification is a necessary procedure for the University to appropriately monitor students’ activities based on their status of residence as “Student,” and to ensure proper immigration management and smooth academic and research supervision.
1. Cases Where Submission Is Required
Submission is mandatory in the following cases:
- When leaving Japan for 30 consecutive days or more due to reasons such as returning home, internships, research activities, or personal reasons
- When the student has already departed Japan and it is certain that the total period of stay outside Japan will be 30 days or more
Please note:
*For absences of less than 30 days, students may be requested to submit the notification at the discretion of their academic supervisor. Please follow the instructions of your supervisor.
2. Relationship to Status of Residence and Academic Activities
International students are granted the status of residence “Student” on the premise that they engage in coursework and research activities in Japan.
If a student does not engage in classes or research activities in Japan for an extended period without a justifiable reason, issues may arise regarding the validity of their status of residence.
In addition, absence from classes for two months or more may be regarded as grounds for a leave of absence under the University regulations.
If you plan to be outside Japan for an extended period, please be sure to consult your academic supervisor in advance.
3. Submission Method
The Notification of Overseas Travel by International Students must be submitted online via the designated Forms system.
Paper submissions are not accepted.
Upon completion of the submission, the entered information will be automatically sent to both your academic supervisor and the IPS Office.

4. Important Notes
- If the Notification of Overseas Travel by International Students has not been submitted, the IPS Office may contact the student to confirm their status from the perspectives of immigration management and academic supervision.
- This notification is an important procedure for ensuring appropriate enrollment management for both students and academic supervisors.
