How to order certificates

Basically, you can request most types of certificates via our online application system, but some certificates are not available on our online application system. Please click here first to confirm details such as the types of certificates, how and where to apply for certificates.

◆Certificates are issued in either Japanese or English.
◆Certificates are issued under the surname used at the time of registration.(As a rule, this can not be changed )
◆Please ask the Academic Affairs Section of the SPSE Office, if you need Certificates needed to study at overseas university.
◆ From 2019 the initial letters of the language in which the course was taken (for example, “[J]” for Japanese, “[E]” for English) will be attached to the end of the English name of all courses except language courses on English transcripts. Please refer to the written explanation, which can be downloaded here.

*1: The GPA is NOT applicable to students who enrolled in 2009 or earlier. Please refer to the written explanation, which can be downloaded here.

Application at Waseda Portal Office or the SPSE Office

It takes about 10 minutes to issue certificates under normal conditions, but you may have to wait when our office is crowded. Please come to our office in plenty of time.

◆Required Items
– Handling fee: 400 yen per certificate
– Official identification: Either driver’s license, passport, Individual Number Card (front only; notification cards are not acceptable), resident card, or special permanent resident certificate.
* All documents must be valid.
If your current name differs from the one you had when you were in university, please submit the following documents in addition to these identification documents. As a rule, certificates are issued under the name registered while you were enrolled in SPSE. In case of issuing English certificates, it is recommended to bring your ID which states your name in English to confirm the spelling of your name.

Documents accepted as proof of name change
In principle, either a copy of the family register (koseki tohon or koseki shohon) is acceptable.
*Any date of issue is acceptable.
*A driver’s license or passport with both the old and new names on it is also acceptable. However, these must be valid.

◆Notes
– Please confirm in advance the opening hours during summer and winter vacations and entrance examinations, as they may be different from the above opening hours. Please check the schedule of the school with the SPSE office.
– In some cases such as system maintenance, we cannot issue certificates on the day.
– If you have to ask a proxy to apply on behalf of you, please refer to the “Application at Office by a Proxy” below.
– Some certificates of school credits earned for bar examination, profession of teaching and so on take approximately one week to be issued.
– Since the Social Security and Tax Number System has begun in October 2015,
please use identification document without My Number when you apply for certificates.
If your identification document has My Number, please blot out the number with a black pen.
– If you have any further questions, please contact the Certificate Staff in the SPSE Office.

Application at Office by a Proxy

In order to protect personal information, the University will only issue certificates upon application from the individual concerned. However, if you are unable to apply in person due to unavoidable reasons, we will accept applications from your proxy. If a person other than the applicant applies on behalf of the applicant, please prepare the following two items.
1. Original copy of a proxy form with applicant’s signature and seal. (Proxy Form)
2. A Copy of proxy’s ID (Passport, Driver’s License, Insurance Card etc.)

*Proxy Form can be in a form other than the prescribed one, but it must contain the following items.

(1) Information on the applicant: Student ID number, name (handwritten), seal or signature (handwritten)
(2) Matters to be delegated, reason for delegation, name of the person to whom the procedure is delegated
(3) Identification documents of the delegator (attached)
(4) Information on the proxy: Student ID number(if the proxy is a Waseda student), name (in handwriting), seal or signature (in handwriting), and
relationship/relationship with the authorized person, address, and telephone number.

 

Application by Postal Mail

Please send the following materials to the SPSE office.

■Applying by Postal Mail from Inside Japan

1. Application Form *Please download this form and fill out completely.

*The following information is required if the prescribed form is not available.
(1) Full Name
(2) Contact details (home address, telephone number, daytime contact information, email address)
(3) The type of certificate (whether it is to be in Japanese or English)
(4) Number of copies requested
(5) Whether or not it needs to be sealed
*If you are requesting multiple copies of certificates and require them to be sealed, please specify how you wish them to be sealed.
ex. “Please seal : 1 Certificate of Graduation and 1 Transcript in 1 envelope.”
(6) Name of department
(7) Student ID number (if you remember)
(8) Month and year of admission and graduation/withdrawal

2. Handling fee (400 yen per certificate)
Postal money order(定額小為替) with fixed amount available at the Post office.
* Please do not fill in both sides of the postal money order.

3. Official identification
A Copy of your ID (Passport, Driver’s License, Insurance Card etc.)
If your surname has changed as a result of marriage etc., please show one of the above in addition to bringing a copy of the official family register.[copies acceptable]
As a rule, certificates are issued under the name registered while you were enrolled in SPSE.
In case of issuing English certificates, it is recommended to bring your ID which states your name in English to confirm the spelling of your name.

4. Self-adressed envelope
*Please write your name and mailing address and put stamps on Self-adressed envelope.
If you want certificate(s) to be sealed, please provide a self-adressed envelope of A4 size as we will need to place the sealed envelope inside.
