Reservation procedures

If you are eligible:

Reservation period
From 5 working days to six months prior to the first day of occupancy.

Reservation
Researcher him/herself (or other person on behalf) is required to make a reservation on the guesthouse reservation website.

URL information to access to the website is provided by International Office on following conditions.
-Visiting Scholars, Visiting Research Fellow and Research Intern:
Submission of all of the application documents regarding Overseas Research Program
-Visiting Professor/Visiting Researcher, and Professor/Researcher specified by joint appointment program:
Informal consent from the head of host faculty

Once reservation is confirmed, email will be sent as a confirmation.

If you are not eligible:

Even if you are not eligible, you are allowed to stay in some of the accommodation when you intend to participate in an international conference held at Waseda or in a joint research project with Waseda faculty.
Even in such cases, it is limited to those who qualify as research fellow or higher.

Reservation period
From 5 working days to two months prior to the first day of occupancy.

(Example: If your check-in is on 1 December, the reservation period is from 1 June to 25 November.)

A host faculty member is required to contact the accommodation office below in order to obtain URL information of guesthouse reservation website. Then please make a reservation on the website.

Note:

-The guesthouse is a facility where researchers affiliated with overseas research institutions can stay to conduct research activities at Waseda university, but it is not a hotel.
 Additionally, the number of rooms is limited, and we cannot provide accommodation opportunities for all researchers. If you desire hotel-like amenities and services, please use other nearby accommodations instead of the guesthouse.
 Please check the “Guesthouse Policy” before application.
 Guesthouse Policy

– Reservations cannot be made from four working days before the first day of occupancy.
– If the first day of the reservation period is a Saturday, a Sunday, a national holiday or a school holiday, reservations can be made on the following day or the day after the end of school holidays.
– The accommodation capacity should not be exceeded.
– If you stay in a family room, only spouse and children are allowed to stay. Acquaintances are not allowed to stay.
-To ensure that many people can use the service, room changes due to guest preferences are not allowed after the start of the stay period.

  • Check-in time has been changed from May 2022. Please send an email at [email protected] if you check in other than the above time slot.
  • When you would like to change the number of people to stay, please inform Waseda STEP 21 seven days before your check-in date at the latest
  • When you would like to change your check-in date, please inform Waseda STEP21 in advance.
  • It takes 10-20 minutes to walk from Waseda STEP 21 to Guesthouse Kikuicho and Court Nishi-Waseda. When using a taxi, it is suggested you let taxi wait during your check-in procedure.
  • Guesthouse Kikuicho is not equipped with elevators. It is suggested you use goods delivery service at airport when you have large baggage. Please note that you must be present at your accommodation at the scheduled time of delivery.
