Overview of the Joint Appointment System

1.What is the Joint Appointment System (JA)?

*The name “Cross Appointment” is used as well.

Researchers who belong to other universities or other research institutes are employed as faculty members or researchers at Waseda University while still employed at the institution, and under certain effort management, conduct educational and research activities according to their roles at each institutionDuring the JA contract period, both institutions are the researcher’s affiliation. As of FY2023, Waseda University has concluded more than 100 JA contracts.

  • Participants will have more educational and research opportunities than if you were employed by only one institution. 
  • Participants will have the opportunity to interact with many researchers. 
  • Participants can use the facilities and systems of both institutions for your education and research. 
  • Participants will be able to accumulate more achievements as a researcher because you are able to gain work experience at both institutions and present research results as a member of both institutions. 

4. Examples of support received from Waseda University for JA faculty

The followings are examples of the support for JA faculty. Please note that the support you receive may differ depending on the contract details and future system changes.

Travel expenses 
  • Based on the regulations of Waseda University, we will provide the transportation expenses for the newly appointed person. 
  • Payment based on regulations is limited to one round trip during the contract period. 
Provision of accommodation 
  • During your stay, we will provide a guest house room. See below for details. 

      Guest house – Waseda University (waseda.jp) 

  • Depending on the reservation status of the guest house, we may not be able to meet your request. 
Provision of indivisual research allowance 
  • We will provide individual research allowance that can be used during your stay in accordance with Waseda University’s regulations. 
Providing opportunities to study the Japanese language for JA faculty and their families 
  • After completing the necessary procedures, you can take courses offered by Center for Japanese Language. See below for details.

  • Depending on the availability of courses offered by Center for Japanese Language, it may not be possible to take courses that meet your request. 

5. How to start a JA contract

*The following procedure is only an example. Each actual adjustment process is different respectively, depending on conditions.

(1) The researcher himself/herself and the undergraduate/graduate school of Waseda University that wishes to accept the researcher reach a mutual consent to aim for a JA contract. 

(2) The researcher sends Waseda University’s JA contract (MOU) template to his/her affiliated institution and confirms whether the JA contract is possible under the rules of the institution. 

(3) The researcher’s affiliated institution and Waseda University will coordinate the content of the MOU. At the same time, the researcher and Waseda University will coordinate the details of working conditions and remuneration. 

*MOU adjustments may take several months. 

 (4) Regarding the content of MOU, once an agreement has been reached between the researcher’s affiliated institution and Waseda University, Waseda University will carry out the necessary procedures for concluding the MOU. For the procedure, the researcher prepares the necessary documents according to the guidance from Waseda University. At the same time, the institution to which the researcher belongs also performs the necessary procedures. 

(5) After the procedures are completed at both institutions, an MOU will be signed between them. 

(6) The researcher concludes an employment contract with Waseda University.
