Instructions for Use

  • Currently, all services are offered in Japanese.
  • The Reference Room for browsing the archival records is located on the Higashifushimi Campus, not on the Waseda Campus.
  • We does not provide any services other than the use of materials, such as research, deciphering and appraisal, support for searches, correspondence concerning unlisted materials, sending copies of materials, and receipts and disbursements of materials that have not been requested. We will not reply to emails that contain such questions.
  • If you wish to research your family history, please refer to this FAQ.

Application to browse materials in the collection

The History Museum offers browsing and photocopying services of its collection.

Browsing is available at the Higashifushimi Archives by advance reservation only. Please allow approximately three weeks from the date you wish to visit the archives. Please note that the Archives will not read, examine, or appraise materials, provide support for searches, request copies, or disburse materials without a request.

1. Sending a application form

The visitor who wishes to browse the materials must determine which materials to browse from the Cultural Resource Database and fill in the name of the material group, material name and number, and other necessary information on the Application Form for Browsing. Send this application form for browsing to the Higashifushimi Archives at the History Museum by e-mail.

Please refer to the following information when searching for materials in the collection. Note that some of the materials may not be available for the access rules.

2. Availability check

Since the Higashifushimi Archives holds over 180,000 historical materials, it is physically difficult to check the condition of materials and the existence of sensitive information in advance. Although it may take some weeks, we check the materials listed on the application form one by one to see if they are available for viewing in accordance with our internal rules on the use of materials.

After check, the Archives will contact you with the proposed viewing date.

3. Browsing

Please agree to the rules below and specify the date you would like to view the materials from the list of possible viewing schedule.

All materials are property of Waseda University and historical documents to be preserved for future generations. When using materials (including viewing, copying, and photographing), adhere to the following guidelines. Failure to comply may result in immediate cessation of material use, use of captured data for photography should be prohibited, and future use by our institution may be denied.

  1. If unsure about handling materials, consult with staff. Follow staff instructions regarding handling procedures. Damages, soiling, or loss of materials will incur restoration costs.
  2. Usage is limited to requested holdings. Use of masked or bagged portions, and copying or photographing materials not requested, is prohibited.
  3. Permission from the University Public Relations Office is required for non-material photography or filming. We will not assist with staged activities.
  4. Materials can only be used on reference room tables.
  5. Handle materials with clean hands. Remove wristwatches, jewelry, and avoid using metal rulers.
  6. Mask wearing is optional. Be mindful during conversations or sneezing to prevent saliva from adhering to materials.
  7. Personal belongings, including necessary writing instruments, are user responsibility.
  8. Use pencils and erasers only. Mechanical pencils, ballpoint pens, sign pens, highlighters, and fountain pens are not allowed.
  9. When using materials taken out of envelopes, handle one item at a time to prevent disorder.
  10. Do not force materials open, leave them open and face down, or place notebooks or other materials on top of opened materials. When turning pages, do not lick or rub fingers on them; turn them slowly and carefully.
  11. Do not attach sticky notes to materials. Do not remove or move existing sticky notes or inserted paper fragments.
  12. Inform staff when temporarily leaving your seat or when finished viewing materials. Staff will inspect all materials after use. Please wait until inspection is complete.
  13. Procedures for material use application and reprinting permission for publication are different. For using captured images or videos in publications, web articles, TV broadcasts, etc., follow procedures listed on the History Museum (Higashifushimi Archives) website to apply for publication and usage approval. Deadline for submitting application documents is three weeks before planned usage date.

Application for Publication or Broadcast of Materials

If you wish to use copies of materials in our collection for publication or broadcast, please apply for it after agreeing to the following conditions.

  • The use of the materials is limited to publications or broadcasts with public purposes such as academic research or social education. Permission for use may not be granted depending on the purpose and content of the project.
  • We may take legal action against any unauthorized use.
  • Before applying, please be sure to read the Regulations on the Use of Copies of Materials before making a request.

1. Submission of application documents

After confirming the materials you wish to use, please send the following three documents by postal mail (fax and e-mail are not acceptable). The deadline for application is strictly 3 weeks prior to the planned date of use.

  1. Application for Use for Publication
  2. The project description, and/or images that confirms the part of our material that is to be published or used. g., a copy of the relevant page in the book, or a printout of the relevant scene in the case of a broadcast work, electronic media.
  3. A self-addressed, stamped envelope.

Additional documents may be requested during the screening process.

2. How to fill out the application form

Please enter the name of the representative of the organization and affix the representative’s seal or sign to the application form. Please fill in all the fields.

3. Schedule after application

Reviewing the application, the Archives will contact you regarding approval or disapproval.

Use of the information for purposes other than those stated in the application form is prohibited. Please follow the application procedure again if there are any changes in the content of use, such as resale, reprinting, or rebroadcasting, or if you update or revise the website.

Donate historical materials

The History Museum collects materials related to Waseda University and the Waseda community.

If you wish to donate materials, please contact the Higashifushimi Archives staff at the History Museum by e-mail ([email protected]). We will inform you of the procedure.

Rules and Regulations

The regulations and bylaws conform to the Waseda University Regulations on the Protection of Personal Information and set forth standards for disclosure that give due consideration to the privacy of personally identifiable information. These rules apply to all materials in the collection of the Waseda University Museum of History.
