Language Exchange (Spring Semester 2009)

 

1. Outline The ICC Language Exchange is a program that matches interested language learners (one-on-one or small group of three) to teach and learn each other's languages and cultures.

 

2. Eligibility Waseda University students, faculty and staff (including visiting scholars and researchers)

 

3. Period April 2009 – July 2009 (4 months)

 

4. Orientation <Full! Thank you!>

Those wishing to register for the program are required to undertake the orientation lecture. Those who have attended the orientation lecture in full during the first and second term in 2008 you are exempt. If you have attended the orientation lecture before 2008, you will need to take it again before registering. Around 12 orientation sessions will be held from April 4th until April 28th Please check the specific dates and times of these sessions from the Orientation Booking screen on Waseda-net Portal. Please note that pre-registration is required to attend the orientation, and those who are late will not be admitted.

Matching
Matching will be conducted over 4 separate periods.

If you are not successfully matched during one period, your entry will automatically be forwarded to the next period.

Result Announcement
Student ID numbers of those who are matched with his/her potential partner will be announced in the “International Programs” section of Waseda-net Portal from April 17th (fri) until May 15th (fri).

*Information will be updated every Friday (excluding May 8th) at noon.

Only those who have been matched will have their Student ID numbers displayed. If you can't find your ID one week, please check back the following Friday.

First Exchange Session Scheduling
Based on your registration, the ICC will schedule your first exchange session and inform you via email.

Please make sure that your email account is not over storage quota.

Confirmation of the First Exchange Session Date
Send the ICC a confirmation email regarding the First Exchange Session date and time.

Not showing up for your First Exchange Session without contacting the ICC automatically cancels your matching.

Meet your partner for the first time at the ICC Lounge.

Don't exchange contact details at the First Exchange Session.

Submit Participation Confirmation Form
After the First Exchange Session, both partners indicate whether they want to continue with their matched partner by submitting a confirmation form. If you wish to be matched with a different partner, after submitting the confirmation form, the ICC will try to match you with another partner (this may not be possible in all cases).

Notification of Partner's Contact Details
Upon mutual consent from both partners, the ICC informs both partners’ phone numbers and e-mail addresses.

The Language Exchange Officially Begins!
After you have received your partner's contact details from the ICC, please arrange all further sessions yourselves.

Submit Participation Report via Waseda-net Portal
Please submit a report through Waseda-net Portal during the specified period of July 20th – 31th, 2009.

Failure to submit report will result in you being unable to participate in future Language Exchange Programs.

 

7. Common Courtesy


a) Make sure that both partners have equal time both teaching and learning the specified languages.
eg.1) For a two hour session, split into two 1 hour blocks for each language.
eg.2) Rotate the language each session


b) Respect your partner's cultural background and unique way of thinking. Remember that the Language Exchange Program is not just for learning language, but also for finding out more about different cultures.


c) Please consult with the Language Exchange Program Coordinator at the ICC if you have any issues during the course of the program.

 

8. Q&A


Q1. Due to unforeseen circumstances I am no longer able to attend my allocated orientation session. Is it possible to change the date?
A1. Yes. Please change and submit the date of the orientation session you will attend on Waseda-net Portal. This can be done more than once if necessary. You do not need to inform the ICC of the changes.


Q2. How do you match applicants?
A2. Applicants will be matched by a "condition matching" approach - applicants are matched according to their stated information/conditions (language interests and abilities, time schedule, etc.). However, imbalance in the number of applicants of each registered language may lead to a matching where not all conditions are perfectly matched.


Q3. I started the language exchange with my partner, but it has become extremely difficult to continue because of my class workload, etc. Do I still need to submit a report, even though I've only met my partner a few times?
A3. Yes. All participants (regardless of how many times they met their partner) need to submit a report between July 20 and July 31, 2009.
