  • Some certificates need several days to be issued.
  • Certificate of tuition fee takes about 2 days to be issued.  It takes approximately 20 – 45 days for your payment to be reflected in the school certificate data.
    In case you have paid study abroad fees directly to your host university, the payment certificate is available at the CIE (Center for International Education).
  • Certificate of Commuter
    In order to buy a commuter pass from private bus companies, you need to have Certificate of Commute.  Please get the certificate at the SILS office preliminarily.   In order to buy the commuter pass by JR, Private Railway Company, Metropolitan Railway Company, and etc , you can buy one at the station.  The SILS office does not issue the Certificate of Commute for the pass by the railway companies.
  • Student Discounts
    Student Discounts are available to use more than 100 km sections by JR.  The Student Discounts are available 4 copies in a day; 10 copies in total in an academic year.  The certificate is valid for 3 months.

B) Procedure at the SILS office/Academic Advising Office

E) Procedure by Proxy person

From the aspect of the privacy protection, Waseda University do not accept any applications from other than our students; however, university accepts applications by proxy person in the cases of emergency.

F) For Alumni – Name Change

As a rule, certificates are issued under the name registered while you were enrolled in SILS. If your name has changed due to marriage etc, please submit one of the following certifying documents to us to confirm the change of your name;

certificate of family registrar (Koseki-toho, Koseki-shohon), official identification document which shows your old and new names (driver’s lisence, passport etc)

In case you need a certificate under the new name (e.g. for visa application, due to Naturalization to Japanese nationality), please consult the SILS office.

Student I.D. Card

Your student identification card is used not only as your ID card but also when you enter a library at the university and in various other situations, so you should always carry it with you and be careful not to damage or lose it. A student identification card consists of a card with your photo and a seal on the back to indicate the current year, and is not effective unless the card and the seal are combined.

1. Issuance

Freshmen are granted a student identification card in exchange for their examination admission card on the day of their entrance ceremony. Students in the second year or above are granted a new seal from the grade announcement day in March every year. Replace the old seal with the new one to renew the ID card. You can change the photo on your ID card only once during your stay at the School. If you want to change your photo, apply at the office of the School of International Liberal Studies.

2. Presentation

You are required to present your student identification card when you take tests conducted by the School, apply for a certificate, receive certain things issued by the School, and in various other cases.

3. Change of Information on Your Student Identification Card

Notify the SILS office of any change in your address, name, or other information on your student identification card(Refer to 3. Changes in Personal Information).

4. Reissue

If your student identification card has been lost, damaged, or the magnetic tape has become unreadable, you need to apply for the reissue of a new card. Bring a picture (3cm × 4cm) with you and apply for reissue at the office of the School of International Liberal Studies
You will be charged 2,000 yen for a reissue. For an unreadable magnetic tape and a name change, there is no charge for a reissue. Please be aware that it takes about two business days for a reissue.

5. Invalidation

If you lose your status as a student due to graduation or leaving the School, your student identification card loses its validity. In that case, you must promptly return your card to the SILS office.
When you graduate from the School, you will be granted a diploma in exchange for your student identification card.
Valid period of the ID card is 1 year. The period is extended by changing the seal in the back.
The students who are studying abroad can change the seal when you back to Japan.

Changes in Personal Information

When there is any change in personal information about you, your guarantor, or the person who pays your school fees, you should promptly notify the SILS office. Changes in personal information include the following changes:

1. Change of Your Guarantor or Payer of School Fees

You should promptly notify the SILS office of the change on the prescribed form.

2. Change of Address or Telephone Number (including cell phone number)

  1. Please change your address information (including whether you live with your guarantor) on the Waseda-net Portal (menu-“My profile”). If you change your address, please come to the SILS office to receive a new seal when you receive an e-mail summons from the office.
  2. For changes in information concerning your guarantor and/or Payer of School fees, please come to the SILS office to fill out a prescribed form (Refer to 3. Change of Transfer Account or Payer of School Fees in III. School Fees).

3. Change of Transfer Account for School Fees

If the direct debit account for school fees has been changed, you should promptly notify the SILS office of the change (Refer to 3. Change of Transfer Account or Payer of School Fees in III, School Fees).

4. Change of Deposit Account in Your Name.

Please change your deposit account information on the Waseda-net portal (menu-“My Profile”). If the account was incorrectly registered or not registered, no scholarship or refund of student health insurance is paid. Depending on the time you change it, the change might not be reflected by the deposit day.

5. Name Change

If you have changed your name or your guarantor has changed his/her name, you should promptly notify the SILS office of the change on the prescribed form. Bring an abridged transcript of your or his/her new family register with you (The change will be reflected from the next day to certificates).

* Protection of Personal Information

In principle, personal information about a student will not be disclosed to any third party without the student’s consent. Personal information is handled in accordance with the Regulations on the Protection of Personal Information.
